Shark Ag Consulting Ltd. is an independent, farmer-owned agronomy firm based in Northeast Saskatchewan. We are farmers helping farmers, using the same technology, practices, and processes on our own farms that we recommend to our clients.
Our work is grounded in practical agronomy, strong data, and long-term relationships. As our business continues to grow, we are seeking an Executive Assistant who can bring structure, follow-through, and operational clarity to the leadership team and the broader organization.
About the Role
The Executive Assistant is a senior administrative and operational support role that works directly with SharkAg's leadership team. This position is responsible for keeping priorities moving, tracking critical items, strengthening administrative systems, and ensuring leaders and teams can operate efficiently and decisively.
This role goes beyond traditional administrative support. The Executive Assistant acts as a trusted partner, anticipating needs, managing details, and creating administrative systems that allow the business to scale without friction.

Executive & Leadership Support
Priority Management: Tracks leadership priorities, deadlines, and commitments, ensuring follow-through on key decisions and actions.
Meeting & Preparation Support: Prepares agendas, summaries, background materials, and notes to support effective meetings and decision-making.
Follow-Up Tracking: Maintains visibility on action items arising from meetings and discussions, ensuring progress is communicated clearly.
Office Operations & Administrative Oversight
Administrative Systems: Oversees and strengthens administrative workflows, documentation standards, and office processes.
Administrative Team Oversight: Provides direction, coordination, and quality control for administrative staff to ensure consistency and efficiency.
Vendor & Service Management: Manages relationships with vendors, service providers, and contractors, including renewals, issues, and performance follow-up.
Workflow, Lead & Information Tracking
Business Lead Tracking: Organizes and monitors incoming business leads, inquiries, and opportunities to ensure timely follow-up and accurate records.
Workflow Visibility: Maintains clarity around what is pending, in progress, or completed across executive-level initiatives.
Information Management: Keeps records, summaries, and documentation organized and accessible for leadership decision-making.
Financial & Operational Administration
Financial Coordination: Supports accounts payable and receivable, invoice tracking, expense documentation, and coordination with bookkeeping partners.
Payroll & Reporting Support: Prepares payroll information and supports financial reporting with accuracy and timeliness.
Budget Awareness: Tracks administrative and operational expenses to support informed leadership decisions.
Professional Communication & Coordination
Internal Communication: Ensures clear, professional communication across leadership, agronomy, and administrative teams.
External Communication: Communicates professionally with clients, vendors, and partners as required.
Documentation & Summaries: Prepares clear summaries, notes, and internal documentation to support operational clarity.
Toolset
The systems and tools used to deliver strong executive and administrative support.
Email & Calendar Platforms: Excellent with executive communications, scheduling, reminders, and time-sensitive follow-ups; Gmail.
Document & File Management Systems: Shared drives and structured folders used to store, organize, and maintain contracts, records, templates, and internal documentation; Google Drive.
Task & Workflow Tracking Tools: Track priorities, action items, deadlines, and follow-through across leadership and administrative functions; Trelle.
Spreadsheet & Reporting Tools: Used to track business leads, operational items, financial summaries, and status updates for leadership visibility.
Accounting & Expense Tools: Used to support invoicing, expense tracking, payroll preparation, and coordination with bookkeeping or accounting partners; QBO.
Vendor & Contract Tracking Tools: Used to manage vendor information, subscriptions, renewals, service agreements, and key contact details.
Communication & Meeting Platforms: Used for internal messaging, virtual meetings, and coordination with team members, clients, and external partners.
Qualifications
Experience: 3–5+ years in an Executive Assistant, senior administrative, office management, or operational support role.
Skills: Strong organizational skills, professional communication, discretion, and ability to manage multiple priorities.
Education: Post-secondary education in business administration, communications, or a related field is an asset.
Other Requirements: High degree of confidentiality, sound judgment, and ability to work independently while supporting executive leadership.
Working Conditions
Full-time role with consistent availability during core business hours.
Flexibility required during peak or seasonal periods.
