Working as a part of the External Relations and Community Engagement team, the Advancement Database and Events Coordinator will function in a capacity to provide administrative support to the Advancement department, and provide support to other VP external events and activities. Reporting to the VP, External Relations and Community Engagement, the coordinator is responsible for the ongoing management of the Foundation's award management database (Access), and data entry and reporting related to the Foundation's CRM Database. The coordinator will provide front desk support to the Advancement, Communications & Marketing and Integrated Planning and Accountability departments. The incumbent will need knowledge in database management and development while working with departments across campus to promote, support, and advance fundraising and alumni initiatives and priorities.
Job Description
Duties & Responsibilities:
Donor Database And Award Database
Maintains the Raiser's Edge CRM software under the direction of the Accounting Manager, including the management of data, processes and reporting.
Ensures data integrity, functionality of, and reporting from the Raiser's Edge database and RE NXT.
Develops customized queries, reports and donor lists utilizing thoughtful data analysis and strategic skills to support the fundraising activities of Foundation and Advancement teams.
Performs routine database maintenance and other quality control procedures including monthly, quarterly and yearly data clean ups, including the elimination of duplicate records, running global changes as necessary.
Produces and oversees the integrity of mailing lists for the department's direct mailing and online marketing activities.
Provides necessary training and troubleshooting to site staff on Raiser's Edge.
Creates proposals, stewardship reports and reporting metrics that support department initiatives.
Develops Access database for award management, including data modeling, and creation of tables, queries, forms, and reports.
Maintains and supports Access database management systems. Support includes identifying, testing, and implementing database fixes and enhancements, maintaining data dictionaries, data models and physical databases, and other relevant systems documentation.
Oversees alumni data migration to Raiser's Edge.
Performs data entry into Raiser's Edge CRM software under the direction of the Manager.
Ensures data integrity, functionality of, and reporting from the Raiser's Edge database and RE NXT.
Run reports and donor lists utilizing thoughtful data analysis and strategic skills to support the fundraising activities of Foundation and Advancement teams.

Advancement Administrative Support
Works as part of the Advancement team to support programs, campaigns, projects, and special events, managing a high volume of work, prioritizing tasks and requests from various sources.
Responds to and follows up on all alumni and Foundation inquiries.
Accurately builds and maintains awards databases.
Creates proposals, stewardship reports and reporting metrics that supports department initiatives.
May perform financial tasks (e.g., banking deposits) under the direction of the Accounting Manager.
Manages the Raiser's Edge CRM software under the direction of the Accounting Manager, including the management of data, processes and reporting. Leads projects related to the CRM database.
Works as part of the Advancement team to support programs, campaigns, projects, and special events, managing a high volume of work, prioritizing tasks and requests from various sources.
Collaborate with department to plan and coordinate mailouts.
Supports the administrative needs of the awards program.
Support foundation and alumni newsletters and websites.
Recruits and coordinates SWAP students and activities.
Recruits and coordinates volunteers and volunteer activities.
Responds to and follows up on all alumni and Foundation inquiries.
May perform financial tasks (e.g., banking deposits, receipting, gift entry and processing) under the direction of a superior.
Supports projects related to the CRM database.
Works as part of the Advancement team to support programs, campaigns, projects, and special events, managing a high volume of work, prioritizing tasks and requests from various sources.
Provides general information and assistance to students, faculty, support staff, administrators, alumni, and other visitors to the office.
Opens, sorts, processes and prioritizes incoming/outgoing mail and initiates action where appropriate in a timely manner.
Prepares meeting agendas and meeting packages, and ensures that relevant information is circulated prior to meetings.
Provides administrative support for Foundation Board meetings, including arranging catering, boardroom setup and taking minutes.
Organizes, schedules, and attends all departmental meetings. Organizes room bookings, catering, and equipment, as required.
Prepares and sends letters with student thank you letters/cards to donors or department chairs.
Collaborate with department to plan and coordinate mailouts.
Maintains office equipment and stationary supplies.
Supports the administrative needs of the awards program.
Support foundation and alumni newsletters and websites.
Recruits and coordinates SWAP students and activities.
Recruits and coordinates volunteers and volunteer activities.
Responds to and follows up on all alumni and Foundation inquiries.
Performs financial tasks (e.g., banking deposits, receipting, gift entry and processing) under the direction of manager.
D. Qualifications Required
Performs other related duties and/or projects, as assigned.
Education & Experience
Completion of a two-year diploma in marketing, business administration, communications, fundraising, or equivalent.
A minimum of two (2) years of experience working in preferably in a post-secondary educational environment in alumni relations or marketing (or equivalent).
An equivalent combination of education and experience may be considered.
Experience using office productivity software, including word processing (MS Word), spreadsheets (Excel), and presentation software (PowerPoint/Keynote).
Experience working with database software (e.g. Access)
Experience working with content management software (e.g., Campaigner, Cascade Server).
Experience working with social media platforms (e.g., LinkedIn, Twitter, Facebook, etc.).
Experience working with relationship management software (e.g., Raiser's Edge).
Knowledge of post-secondary policy, procedures, and programs is preferred.

Additional Info
Working Conditions
Must have a valid BC Driver License.
Must be able to lift 20lb.
May occasionally work weekends and evenings to attend functions, events, etc.
In order to meet appropriate deadlines, vacation time will need to coincide with low service periods.
