About The Role
We are seeking a highly organized and detail-oriented Operations Support Coordinator to join our team in Vancouver, BC head office. This part-time, in-office role (3 days per week) plays a key part in supporting our retail operations by ensuring smooth administrative processes, accurate reporting, and efficient coordination between head office and stores.
This person will be working closely with the Operations Process Specialist to support business needs, improve workflows, and ensure operational consistency
This position is ideal for someone who thrives in a fast-paced retail environment, enjoys working behind the scenes to keep operations running seamlessly, and takes pride in accuracy and organization.
This is a temporary 10-month contract position to provide leave coverage support, with the potential of extension.
Key Responsibilities
Online Order Management & Customer Support
Process and manage online orders accurately and efficiently
Monitor, respond to, and manage the online orders inbox, ensuring timely communication and follow-up
Coordinate with stores and internal teams to support order fulfillment
Troubleshoot order-related issues and provide administrative support as needed
Store Support Administration
Perform day-to-day administrative tasks related to retail store operations
Act as a liaison between head office and stores for operational support
Maintain organized records and documentation
Store Supplies Coordination
Support stores in reviewing, managing, and ordering supplies, including:
Office supplies
Sales tools and materials
Packaging supplies
Monitor usage and help maintain appropriate inventory levels
Coordinate with vendors when necessary
Reporting & Tracker Management
Review and compile trackers related to Diamond Consultant activities
Conduct regular audits of discounts to ensure compliance with company policies
Ensure data accuracy, consistency, and proper documentation
Identify discrepancies and follow up with stores as needed
Invoice Review & Approval
Review and approve store-related invoices
Ensure invoices align with budgets and company policies
Follow up on discrepancies and maintain accurate financial records
Qualifications
1-3 years of administrative, retail operations, or office coordination experience
Strong attention to detail and organizational skills
Comfortable working with spreadsheets and tracking tools (Excel/Google Sheets)
Ability to manage multiple priorities and meet deadlines
Strong communication skills and a collaborative mindset
Experience in retail or multi-location environments is an asset

Compensation
The pay range for this position is $24 - $26 per hour. Pay ranges are established based on work location and market standards for the applicable position. The successful candidates starting pay rate will be determined based on job-related skills, experience, and qualifications.
