Position Overview
We are seeking a summer intern to join our Human Resources team at Beedie This is a hands-on opportunity for a proactive, detail-oriented student who thrives in a collaborative environment and enjoys tackling new challenges with energy and curiosity. As an HR Intern, you'll gain meaningful exposure to a broad range of human resources functions, supporting both the operational and people-focused initiatives of the team.
From day one, you'll be a valued contributor – supporting administrative processes, assisting with recruitment and onboarding, and helping to deliver initiatives that enhance the employee experience across the organization. You are someone who isn't afraid to roll up your sleeves, jump in wherever needed, and take pride in getting things done—no task is too big or too small. You pride yourself as being a spreadsheet aficionado and the idea of automation/building efficiencies excites you.
Key Responsibilities - Administration
Administration of Beedie Ignite – our employee donation matching program
Provide vacation/sickness reception coverage as required.
Support ad hoc projects and initiatives as assigned
Key Responsibilities - HR Support
Recruitment:
Coordinate and schedule candidate interviews
Draft, update, and post job descriptions
Assist with job postings across recruitment platforms
Onboarding:
Assist with candidate communication following offer acceptance, including sending welcome emails and onboarding documentation
Launch new hires in UKG and ensure all completed onboarding documents are accurately saved in electronic employee files
Create and maintain physical employee files for hard-copy documentation
Coordinate first-day logistics and onboarding schedules in partnership with hiring managers
Send new hire notifications to internal stakeholders (IT, Administration, etc.)
Coordinate and schedule new-hire "buddy" lunches
Performance Management
Assist with preparation and launch of mid-year performance reviews, including updating communication and supporting system set-up
Support the preparation of performance review materials, guides, and templates
Training & Development
Drafting clear and engaging internal communications to staff to promote upcoming training opportunities and gather expressions of interest.
Coordinating with external vendors to secure training venues, arrange catering, and ensure all logistical requirements are met.
Organizing and managing training materials, including printing, ordering supplies, and preparing participant packages.
Scheduling training sessions by sending meeting invitations, tracking attendance, and maintaining accurate records.
Participating in course planning meetings to support agenda development, logistics, and overall session preparation.
Assisting with on‑site setup prior to training sessions, including room layout, materials distribution, and equipment checks.
Supporting post‑session cleanup and ensuring training spaces are returned to their original condition.
Policy Review & Maintenance
Supporting the review of existing HR policies to identify outdated content, inconsistencies, or areas requiring clarification.
Assisting with drafting policy updates, formatting revisions, and preparing documents for internal approval and distribution.
Helping maintain version control and ensuring updated policies are uploaded to the appropriate internal platforms.
Participating in testing of the Company's HR Chatbot by reviewing responses for accuracy, clarity, and alignment with current policies and procedures.
Documenting errors, gaps, or improvement opportunities identified during testing and communicating findings to the project team.
Providing general administrative support to the policy and Chatbot implementation processes as required.
Desired Skills And Experience
Working towards a University degree or college diploma in Human Resources, Business Administration or a related field
Strong understanding of confidentiality and discretion when handling sensitive information
Strong computer skills with a hands-on working knowledge of MS Office
Related work experience is an asset, including that of previous co-op placements, internships, projects
Highly organized with exceptional attention to detail
Strong written and verbal communicator
Proactive, resourceful, and eager to learn
Reliable, professional, and able to manage multiple tasks effectively
A collaborative team player with a positive, energetic attitude
$46,800 - $46,800 a year
