Role Overview

As a Senior Import Coordinator, you will play a key role in supporting import operations and managing the full sample → development → production → pre‑shipment execution cycle.

You will be responsible for:

  • ensuring data accuracy,
  • coordinating with international suppliers,
  • monitoring timelines and milestones,
  • preparing import‑related documents,
  • and ensuring a clean handoff to the Logistics team.

This position is ideal for a detail‑oriented, proactive professional with 5+ years of experience in import, production, or sourcing.


Key Responsibilities
Sample Tracking & Product Development
  • Coordinate sample requests, arrivals, reviews, comments, and approvals.
  • Collaborate with Product, Design, Marketing, Compliance, and QC teams.
  • Maintain up‑to‑date sample, testing, packaging, and development trackers.
Production Follow‑up & Supplier Coordination
  • Maintain and update production timelines: samples, PP approvals, production progress, ex‑factory dates.
  • Validate supplier timelines and raise risks or delays proactively.
  • Communicate changes, dependencies, or issues to relevant teams.
PO Management, Data Accuracy & Documentation
  • Create and update purchase orders in the ERP (pricing, quantities, dates, approvals).
  • Validate quotes, quantities, specifications, packaging, and customer/licensor requirements.
  • Ensure accurate data handoff to Finance, Logistics, Demand Planning, and cross‑functional teams.
Advanced Import Support 
  • Prepare and verify pre‑shipment documents (commercial invoice, packing list, logistics information).
  • Monitor and track ETD/ETA updates provided by suppliers or agents.
  • Identify discrepancies (quantities, delays, missing documents) and escalate when required.
  • Support Logistics by ensuring clean, complete documentation packages.
Tools, Systems & Process Improvement
  • Maintain and optimize trackers (Excel, or equivalent).
  • Contribute to improving templates, SOPs, workflows, and shared folders.
  • Ensure consistent documentation structure and department organization.
Cross-Functional Collaboration
  • Serve as the main coordination point between:
    Product, Design, Marketing, QC, Compliance, Logistics, Finance, Demand Planning, and suppliers.
  • Participate in internal milestone meetings and provide structured status updates.
Experience & Education
  • 5+ years of experience in import operations, production coordination, sourcing, or product operations.
  • Experience working directly with overseas suppliers (Asia strongly preferred).
  • Degree in business, supply chain, fashion, international trade, or related field.
Technical Skills
  • Strong Excel skills (lookups, filters, formulas).
  • Experience using an ERP (JDE, SAP, NetSuite, or similar).
  • Knowledge of basic import documentation (invoice, packing list).
  • Familiarity with or project management tools is an asset.
  • Understanding of Incoterms and general import/export workflow.
Soft Skills
  • Highly organized and detail‑oriented.
  • Strong communication skills (written and verbal).
  • Ability to manage multiple priorities and deadlines.
  • Analytical mindset with problem‑solving abilities.
  • Proactive, resourceful, and eager to improve processes.
