About the Role The Administrative Assistant will work closely with the Protected Areas Program Manager in all areas relating to personnel; ensuring policies and procedures are being implemented. Under the direct supervision of the Protected Areas Program Manager, the Administrative Assistant plans, coordinates and oversees the general office administrative duties in support of the Program Manager, providing assistance in all aspects of program planning and delivery.
Key Duties & Responsibilities
Duties include, but are not limited to, the following:
- Accountable for planning and carrying out meeting functions, including scheduling, minutes, catering, and exchanging/posting information.
- Responsible for maintaining a secured digital and paper filing storage system which includes but is not limited to records of meetings and action items.
- Assist in developing and monitoring of the Protected Areas work plan & program budget.
- Manage the daily/weekly/monthly schedule for the Protected Areas Program Manager.
- Assist in the research and development of policies and procedures for Protected Areas programs as required, ensuring they reflect the respective mandates of both CHN and SHN.
- This position will have nominal supervision of Protected Areas support staff as directed by the Protected Areas Program Manager and ensure that scheduled tasks are completed as assigned; in the absence of the Protected Areas Program Manager, the Administrative Assistant will have immediate supervision of support staff within the Protected Areas Program.
- Prepares for and participates in the CHN Seasonal Sessions, House of Assembly, and other meetings that may be scheduled as directed by the Protected Areas Program Manager.
- Assist in coordinating of interviews, workshops and training for staff, recruitment programs, career fairs and participate in the CHN Youth Assembly.
- Perform other duties as directed by the Protected Areas Program Manager.
Qualifications & Skills
- Must have knowledge and understanding of Haida laws, traditions, and values.
- Minimum of two years' experience in an indigenous organization with administrative duties and responsibilities similar to those required for this position.
- Demonstrate sound communication skills, both oral and written.
- Ability to prioritize and problem solve.
- Must have good understanding of procedures of the CHN and SHN.
- Must have a good understanding of the Haida Constitution, Haida Accord, and other agreements, such as the Kunst'aa Guu Kunst'aayah, Gwaii Haanas, Land Use Order Objectives, Stewardship Law, and Cultural Features Identification.
- Must have knowledge of the relationships between CHN, Hereditary Chiefs Council, Village Councils, and other associated organizations.
- Must have the ability to work well under pressure in order to meet deadlines.
- Have a basic understanding of standard office practices and work experience with Microsoft Word, Excel, Adobe, and other related programs.
- Must have a valid B.C. driver's license.
- Preference will be given to Haida candidates as per Section 41 of the Human Rights Code.

- Hourly rate: $27.62 – $ 31.08 based on experience.
