Role Overview
The Human Resources Coordinator role will be appointed on a fixed‑term basis for an initial period of 3–6 months, with the potential for the position to be made permanent or for the contract to be extended, subject to business needs and performance
The postholder will provide comprehensive administrative and operational support across the HR function, ensuring accurate record‑keeping, effective coordination of recruitment and onboarding, and timely delivery of HR processes.
Key Responsibilities
HR Administration & Employee Lifecycle Support
- Provide administrative support across the full employee lifecycle, including onboarding, probation reviews, contract preparation, and documentation management.
- Maintain accurate employee records, files, and documentation in the HRIS (e.g., Workday).
- Prepare HR letters (employment confirmations, contract changes, reference letters, etc.).
- Coordinate onboarding activities such as welcome packs, system access, induction scheduling, and new starter checklists.
- Assist with offboarding processes, including exit interviews, equipment returns, and systems access updates.
Recruitment & Onboarding Coordination
- Coordinate new joiner logistics, including induction sessions and first‑day arrangements.
HR Operations & Data Management
- Maintain HR databases and ensure accuracy of all employee information.
- Support monthly reporting, data audits, and compliance documentation.
- Assist with preparing HR metrics, headcount reports, and spreadsheets for payroll and finance teams.
- Ensure all HR documents, forms, templates, and processes are kept up to date.
Employee Relations & General Support
- Be the first point of contact for general HR queries, escalating complex issues to the HR Business Partner as needed.
- Support the administration of performance reviews, probation meetings, and training records.
- Help coordinate wellbeing, engagement, and DEI activities and events.
- Manage the HR inbox and respond to routine employee enquiries.
HR Coordination Across Studios
- Support coordination between different studios/offices, ensuring consistent documentation and HR processes.
- Assist with scheduling meetings, preparing agendas, and managing shared HR calendars.
Skills & Experience Required
- Bachelor's degree in HR, Business Administration, or related field.
- Experience in an HR administrative, HR assistant, or coordinator role.
- Strong organisational skills and attention to detail.
- Ability to handle confidential information with discretion.
- Good interpersonal and communication skills.
- Comfortable working with HR systems (Workday experience is an advantage).
- Proficient in Microsoft Office (Excel, Word, Outlook).
- Ability to manage multiple tasks and deadlines in a fast‑paced environment.
- A proactive, helpful, and service‑oriented approach.
