This role provides essential administrative support for a busy commercial property, helping ensure smooth daily operations and excellent service to tenants, vendors, and visitors. You'll play a key role in managing documentation, coordinating communications, and supporting financial tasks that keep the property running efficiently.

Position Overview
Reporting to the Property Manager, the Administrative Assistant manages reception duties, organizes and maintains property records, supports accounts payable and receivable processes, and assists with tenant communications and operational documentation. This position contributes directly to efficient property management operations and strong tenant relationships.
Key Responsibilities
Act as the primary point of contact for tenants and vendors.
Prepare letters, reports, and general correspondence.
Maintain organized physical and digital filing systems.
Manage tenant and vendor insurance documentation.
Support accounts payable tasks, including coding invoices and coordinating approvals.
Assist with accounts receivable tasks, deposits, and follow‑ups.
Prepare and track purchase orders.
Collect and input tenant sales data for percentage rent calculations.
Assist with tenant notices, communications, and special projects.
Desired Candidate
Post‑secondary education in business or a related field.
Strong communication skills in French and English.
Detail‑oriented, organized, and comfortable managing multiple tasks.
Proficient in Microsoft Office and general administrative tools.
Experience in real estate or property management (an asset, not required).
Familiarity with Yardi or similar property management software (an asset, not required).
