We are looking for a highly structured operator to build our complete supplier pricing system inside Excel (hosted on SharePoint).
The goal:
Create a master pricing database that allows us to instantly reconstruct, calculate, and backtrack any quote — including custom-made products.
This system will serve as the foundation for our AI-powered quotation automation tool.
This is not a simple data-entry task.
You will speak with suppliers and internal team members to gather accurate information, define pricing logic, and structure everything into a scalable system.
Our suppliers are international (not only Chinese).
Scope of Work
Build the Master Pricing System (Excel – SharePoint)
You will:
Create a scalable Excel structure
Organize supplier-level data
Organize product-level data
Include sample costs
Include MOQ structures
Include logical pricing tiers
Include shipping logic
Include currency logic
Include version/date tracking
Include margin logic
The file must:
Allow instant price backtracking
Be clean and structured for automation
Support custom product pricing
Be easy to update
Be future-proof for AI integration
Define Pricing Logic for Custom Products
Since we produce custom products, you must:
Identify pricing formulas per product category
Determine how suppliers calculate prices (material, size, print method, finishing, etc.)
Create structured example products if needed
Translate supplier pricing structures into clear formulas
For example:
Base material cost
Print method cost
Size multiplier
Setup/tooling cost
Sample cost
Tier-based discounts
Packaging cost
Shipping logic
We need to understand exactly how a price is built — not just the final number.
Supplier Communication & Data Collection
You will:
Contact all relevant suppliers
Request missing sample costs
Confirm MOQs
Confirm tier pricing logic
Confirm payment terms
Confirm production times
Clarify unclear cost components
Identify outdated pricing
You must ensure:
All pricing is verified
Each price has a date
Each supplier version is trackable
No assumptions are undocumented
Backtracking & Traceability
The final system must allow us to:
Select a product
Select a supplier
See:
Exact cost tier used
MOQ applied
Sample cost (if applicable)
Currency used
Exchange rate applied
Shipping logic used
Margin applied
Date pricing was confirmed
Contact person at supplier
If we look at a quote from 6 months ago, we must be able to fully reconstruct the exact calculation.
Required Skills
Advanced Excel (formulas, logic structuring, data validation, lookups, nested formulas)
Experience building pricing models
Experience with procurement or supplier management
Strong structured thinking
Comfortable communicating with international suppliers
Strong documentation skills
Fluent English
