About Us
Rainbow Tech LLC is a growing IT and field-service company supporting commercial clients across multiple states. We are transitioning from QuickBooks to Zoho One to improve financial organization, reporting, and operational workflow.
We are seeking an experienced virtual bookkeeper with strong knowledge of US accounting standards and basic US HR processes, who can maintain accurate financial records while assisting with system improvements and supporting administrative operations as needed.

Position Overview
This role combines bookkeeping, financial organization, Zoho system implementation, and light administrative support. The primary responsibility is maintaining accurate books and financial reporting, while also assisting with workflow improvements and supporting the administrative team during slower accounting periods.
The ideal candidate understands how small businesses operate, communicates clearly, and can work independently while keeping systems organized and efficient.

Core Responsibilities
Bookkeeping & Financial Management
• Record daily financial transactions including income, expenses, and transfers
• Maintain and reconcile the general ledger
• Reconcile bank and credit card accounts monthly
• Manage accounts receivable and accounts payable
• Process payroll and maintain payroll records
• Track and categorize expenses for reporting and tax purposes
• Maintain organized financial documentation and audit trails
Financial Reporting & Compliance
• Prepare monthly Profit & Loss statements, Balance Sheets, and Cash Flow reports
• Monitor cash flow and identify potential issues
• Assist with sales tax tracking and filings where applicable
• Prepare clean financial records for CPA and tax preparation
• Support month-end and year-end close processes
• Track fixed assets and depreciation schedules
Zoho One Migration & Optimization (Required)
• Assist with migration from QuickBooks to Zoho Books
• Clean and prepare accounting data for migration
• Configure chart of accounts, tax settings, and workflows
• Integrate Zoho Books with other Zoho One applications
• Implement automation and improve financial workflows
• Assist with training and documentation for internal use
US HR & Administrative Support
• Familiarity with US payroll processes, employee records, and compliance basics
• Assist with payroll coordination and employee expense tracking
• Support onboarding/offboarding administrative processes when needed
• During slower accounting periods, assist administrative staff with:
• Organization of financial or operational records
• Vendor or customer follow-ups
• Documentation or process cleanup
• Administrative tasks assigned by management

Required Qualifications
• Fluent in US bookkeeping and accounting practices
• Experience with QuickBooks Online
• Demonstrated experience with Zoho Books / Zoho One implementation
• Familiarity with US payroll and HR administrative processes
• Experience supporting small or service-based businesses preferred
• Strong organizational and communication skills
• Ability to work independently and proactively

Hours & Compensation
• Part-time or contract
• Flexible hours
• Compensation based on experience and migration scope
