About the job:
Kent is looking for a Site Document Controller to support project documentation management for upcoming FEED and brownfield/greenfield scopes. The ideal candidate brings strong organizational skills, attention to detail, and the ability to work effectively within multidisciplinary engineering and project teams.
Skills and Responsibilities:
Responsibilities:
Document Control & Administration
• Manage, track, and control project documentation in accordance with Kent and client standards
• Maintain accurate document registers, transmittals, and revision histories
• Support document numbering, filing structures, and version control processes
• Distribute engineering and project documentation to internal and external stakeholders
• Ensure timely processing of incoming and outgoing project correspondence
Procedure & Process Support
• Follow established document control procedures and workflows
• Support continuous improvement initiatives within document management practices
• Assist with implementation of project-specific document control requirements
Quality Assurance
• Responsible for working within the provisions and guidelines of the Quality Assurance system
• Verify that all documentation meets formatting, naming, and procedural standards
• Ensure records are properly archived and maintained for audit and compliance purposes
Project & Team Interface
• Interface with project engineers, project managers, and client representatives to support documentation needs
• Coordinate with vendors and contractors regarding submission of technical documentation
• Assist project teams with retrieval and organization of historical project records
Reporting & Recordkeeping
• Maintain up-to-date logs, registers, and tracking reports
• Support weekly project reporting related to document status and deliverables
• Monitor overdue submissions and follow up as required
Internal & External Collaboration
• Work closely with multidisciplinary teams to ensure effective information flow
• Provide administrative support to engineering and project management functions as needed
In addition to the responsibilities listed herein, the employee may be required to perform other ad-hoc tasks as needed or directed by the supervisor or management. These tasks will be within the reasonable scope of the employee's skills, capabilities, and role within the organization. The intent of this provision is to allow for flexibility and adaptability in meeting the dynamic needs of the organization, ensuring that operational requirements can be met efficiently. All such tasks will be assigned considering the employee's current workload and with respect to their professional development.
Your knowledge/skills, education, and experience:
Knowledge/Qualification/Training/Certification:
• Post-secondary education in Business Administration, Office Administration, Records Management, or related field preferred
• 1–3 years of experience in document control or administrative support (engineering or construction environment preferred)
• Familiarity with electronic document management systems (EDMS) and Microsoft Office Suite
• Experience supporting engineering or project environments is an asset
• Knowledge of document control best practices and workflows
Communication:
• Strong English communication skills (oral and written)
• Ability to communicate clearly and professionally with internal teams and external stakeholders
• Strong attention to detail and organizational skills

• Ability to manage multiple priorities and deadlines
• Strong collaboration skills within a team environment
• Ability to work independently with appropriate supervision

Compensation:
Hourly Range: $26.00/hr – $30.00/hr CAD
The hourly range reflects the expected compensation for this role and may vary based on skills, experience, and qualifications.
