The Flamingo Resort & Spa is a mid-century marvel in The Valley of the Moon. The buildings, rendered with natural materials and iconic angular silhouettes, are the work of master architect Homer A. What You Will Have An Opportunity To Do: The Sales Coordinator provides administrative support to the Sales & Marketing team and serves as a key point of contact for clients, vendors, and internal departments. This role helps drive group, corporate, and event business by coordinating communication, managing proposals and contracts, and ensuring a smooth transition from sales to operations. The ideal candidate is highly organized, detail-oriented, and passionate about hospitality and service excellence. Key Responsibilities: Support the Sales Team in the preparation of proposals, contracts, BEOs (Banquet Event Orders), and presentations. Respond to group and event inquiries in a timely and professional manner. Maintain and update client databases, sales systems (e.g., Delphi, Opera, Salesforce), and sales reports. Coordinate and schedule site inspections, client meetings, and internal planning sessions. Assist with the execution of sales events, trade shows, and hotel promotional activities. Collaborate with the Catering, Food & Beverage, and Front Office teams to ensure seamless guest experiences. Process and track deposits, contracts, and billing in accordance with hotel policies. Handle correspondence, create welcome amenities, and support VIP client touches. Maintain collateral materials, sales kits, and promotional supplies. Qualifications: High school diploma or equivalent; associate or bachelor's degree in hospitality, business, or related field preferred. Previous administrative or sales support experience in hospitality, preferably in a resort or spa environment. Strong organizational and multitasking abilities with attention to detail. Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). Familiarity with property management and CRM systems (e.g., Opera, Delphi, Salesforce) is a plus. Excellent communication skills, both written and verbal. Customer service-focused with a professional demeanor and a positive attitude. Must be able to work a flexible schedule including weekdays, occasional weekends, or holidays depending on business needs. Primarily an office setting with some property-wide mobility required for site tours and event support. Compensation: $24.00 - $26.00 Pyramid Global Hospitality is an equal opportunity employer.
