The Project Administrator provides administrative and coordination support to the Property Services and Construction teams. This role ensures effective document management, assists with project workflows, and supports communication and reporting functions to keep projects running smoothly.
WHAT WILL YOU DO?
Maintain and organize digital and physical files related to facilities management and construction projects.
Provide administrative support for operational functions across construction, property services, and building operations.
Work closely with Construction Project Managers (CPMs) on projects including in‑suite renovations, building envelope upgrades, window and roof replacements, boiler installations, and common area improvements.
Complete administrative tasks such as data entry, scanning, document formatting, and preparation of project materials.
Ensure accurate record‑keeping and compliance with company document management standards.
Support internal communication efforts and assist in coordinating updates between teams.
Assist in project scheduling support in collaboration with the Property Services team to ensure tasks, milestones, and deliverables are tracked and completed.
Monitor and organize data for the VFA inbox and support reporting needs.
Support QLIK reporting activities and manage purchase orders as required.
Perform additional administrative duties as assigned.
WHAT WILL YOU NEED?
Post-secondary education or a bachelor's degree in construction, project management, architecture, or a related discipline.
Minimum 2 years of administrative or project coordination experience.
Experience with Yardi is considered an asset.
Advanced proficiency in MS Office, especially Excel (pivot tables, formulas, data analysis).
Experience supporting construction, facilities management, or property services teams.
Familiarity with construction documentation (drawings, RFIs, change orders, close‑out materials).
Experience with project management or asset management software (MS Project, Smartsheet, Yardi, VFA).
Background in financial or procurement support such as POs, invoice coding, and budget tracking.
