HVAC Warehouse Associate
Department: Operations / Warehouse
Reports To: Warehouse Supervisor / Operations Manager
Role Overview
The HVAC Warehouse Associate plays a critical role in supporting daily field operations by ensuring HVAC equipment, materials, and tools are accurately received, stored, prepared, and issued to technicians and subcontractors. This role directly impacts installation quality, technician productivity, inventory accuracy, and job profitability.
This is a hands-on, fast-paced position suited for someone who is organized, reliable, and comfortable working with HVAC equipment in a warehouse environment.
Typical Day in the Role
A typical day for an HVAC Warehouse Associate includes the following responsibilities:
Start of Shift (Early Morning Focus)
Open and prepare the warehouse for daily operations
Review scheduled installs, service calls, and material requirements
Pick, stage, and label equipment and materials by job, technician, or truck
Verify serial numbers, model numbers, and quantities against work orders
Throughout the Shift
Receive inbound deliveries from suppliers and verify accuracy
Inspect equipment for visible damage and report discrepancies
Organize inventory by category (new, damaged, warranty, returns, open box)
Maintain cleanliness, safety, and organization of warehouse space
Support technicians with material requests, returns, and adjustments
Update inventory records and job-related documentation
End of Shift
Process returns from technicians (unused, defective, or rental equipment)
Ensure all issued equipment is properly tracked and logged
Flag low-stock or missing items to the Warehouse Supervisor
Secure warehouse and confirm readiness for the next operating day
Key Responsibilities
Equipment handling (furnaces, heat pumps, ACs, tankless units, accessories)
Inventory control and tracking
Job staging and material coordination
Receiving and quality checks
Returns, warranty, and damaged goods handling
Maintaining warehouse safety and organization
Supporting operations and field teams
Educational & Professional Requirements
Required
High school diploma or equivalent
Ability to lift and move HVAC equipment (with assistance where required)
Strong attention to detail and organization
Basic computer skills (inventory systems, spreadsheets, work orders)
Reliable transportation and punctuality
Fork lift Licence
G Drivers Licence
Preferred (Not Mandatory)
Prior HVAC, construction, or warehouse experience
Familiarity with HVAC equipment and terminology
Forklift certification (or willingness to obtain)
Experience with inventory or field service software
