VOLUNTEER, Communications Coordinator

Program: MAX Mentorship – Vancouver (VMAX)
Time Commitment: 5 hours/week (with periodic increases around program milestones)
Reports To: City Lead / Marketing Lead

Role Overview

The Communications Coordinator is responsible for organizing and managing internal and participant-facing communications for the MAX Mentorship Program. This role ensures that mentors, mentees, and volunteers receive timely, clear, and consistent updates throughout the program cycle.


Key Responsibilities

  • Attend Vancouver MAX team meetings and provide updates on communications-related tasks.
  • Create, maintain, and update a master mailing list of mentors, mentees, and volunteers.
  • Draft and send mentorship matching emails, event invitations, and reminder communications.
  • Organize and manage WhatsApp groups for industry pods and program coordination.
  • Coordinate closely with the Events Lead, Outreach Lead, and Marketing Lead to align messaging and promotional content.
  • Support smooth information flow across teams to ensure participants remain informed and engaged.
  • Qualifications
  • Minimum 2 years of professional experience in Communications role or relevant work experience in a similar field.
  • Strong organizational skills and keen attention to detail.
  • Excellent written and verbal communication skills.
  • Comfortable engaging and supporting a diverse group of program participants.
  • Experience with communications, program support, or volunteer coordination is an asset.
  • Ability to manage multiple tasks and deadlines in a fast-paced, dynamic volunteer environment.
  • Commitment to fostering an inclusive, professional, and supportive mentorship community.
