Our client, a dynamic organization operating across multiple provinces, is searching for a dedicated HR and Payroll Administrator to support essential payroll and human resources functions. This role ensures accurate employee records, timely payroll processing, and seamless onboarding and offboarding experiences while collaborating with internal teams and external partners to maintain operational efficiency and regulatory compliance.

Key Responsibilities
  • Prepare and process payroll accurately and on schedule, coordinating with internal team members and external payroll providers (e.g., ADP).
  • Review and validate employee timecards for accuracy and completeness prior to payroll submission.
  • Manage year-end processes, including preparation of T4 slips, Workers' Compensation Board (WCB) reporting for Alberta, British Columbia, and Saskatchewan, and other statutory filings.
  • Facilitate onboarding by ensuring new hires receive necessary access, documentation, and system setups.
  • Assist with offboarding procedures, including coordination of final pay, completion of required documentation, and revocation of system access.
  • Prepare and submit Records of Employment (ROEs) to Service Canada as required.
  • Address inquiries from the Canada Revenue Agency (CRA) and Service Canada, including management of garnishments and other payroll-related compliance matters.
  • Maintain accurate and confidential employee records within HR databases and systems.
  • Administer employee benefits and pension plans, responding promptly and professionally to related inquiries and issues.
  • Oversee user access in systems such as Aimsio, ensuring permissions align with job responsibilities and organizational levels.
  • Partner with internal departments, such as Operations, to support employee-related processes and initiatives.
  • Communicate effectively with external vendors and service providers to resolve issues and maintain operational efficiency.
Qualifications
  • Post-secondary education in Human Resources, Business Administration, or a related field; a diploma or degree is preferred.
  • 2-3 years of experience in payroll processing and HR administration, ideally in a multi-province environment.
  • Certification as a Payroll Compliance Practitioner (PCP) or equivalent is an asset.
  • Strong knowledge of Canadian payroll regulations, including T4 preparation, ROEs, WCB reporting, and CRA compliance.
  • Proficiency in payroll software such as ADP, as well as HR systems and Microsoft Office Suite.
  • Excellent attention to detail, organizational skills, and ability to handle confidential information with discretion.
  • Effective communication and interpersonal skills for collaborating with teams, vendors, and external agencies.
  • Ability to work independently in a fast-paced environment while meeting deadlines.
