OFFICE OF THE REGISTRAR

From the first steps of admission to the celebration of graduation, we provide guidance, support, and coordination that empower students to succeed. Our team works closely with students, faculty, and staff to deliver essential services-from admissions and academic advising to course scheduling, exam administration, graduation planning, policy guidance, and reporting-all in support of UNB's academic mission.

WHAT WE OFFER

Full-time | (Leave Replacement) Term ending November 6, 2026 | Fredericton| On-Campus

Standard Work Hours: Mon - Fri | 8:15 am - 4:30 pm | 36.25 hours per week

Salary Range: $ $28.96 per hour

YOUR FOCUS

Reporting to the Associate Registrar - Records and Registration Services, the Student Support Officer is responsible to accurately process front line requests in our customer service center. As a central service hub to support students, faculty, staff and alumni this position provides services by telephone, e-mail and walk in requests. It also provides support to academic record requests for the following service areas grading, academic appeals, deferred exams and record processing.

  • Assist with all front-line responsibilities and various administrative functions including providing service to students, faculty, staff, alumni and other members of the public.
  • Provide accurate information and assist students in the use of the Student Planning & Registration system.
  • Provide accurate data input to the student information system (Colleague) with respect to registration and updates on student records.
  • Liaise with academic units to verify student data, as required.
  • Troubleshoot any student account issues.
  • Process both incoming and outgoing mail, as required including courier requests.
  • Process government documentation (CPP Declaration, Disability Benefits, E.I., exchange programs etc.)
  • Produce Confirmation of Enrolment letters, Educational Trust Fund verifications, Graduation Confirmation letters, and any Special letter requests.
  • Process Employment hire checks by organizations and letters of permission.
  • Assist with diploma replacements, certified true copies of diplomas and the coordination of pickups.
  • Audit files as part of document retention processes as well as pull inactive files, prepare & scan files.
  • Assist with special projects and events throughout academic year such as Graduation.
  • Process a high volume of daily UNB transcript orders for both campuses and meet processing time expectations.
  • Manage orders, payments, transcript production, ongoing client inquires and coordinate transcript delivery.
  • Coordinate external transcript requests (accreditation agencies, funding agencies, law firms, etc.) and confirm student consent to disclose confidential academic record information.
  • Provide administrative support to the Records & Registration unit as operationally needed.
  • Other related duties as operationally required.
  • WHAT YOU BRING

  • Undergraduate degree or Office Administration training
  • Minimum 5 years of experience in a customer service and team-oriented environment.
  • An equivalent combination of education and experience may be considered.

  • Ability to multi-task and maintain strong attention to detail.
  • Flexible, adaptable, and receptive to change.
  • Comprehensive knowledge of Microsoft 0365 (particularly Word, Excel, Outlook, and Teams).
  • Experience with Colleague UI or other database management systems, experience with Footprints and Adobe preferred.
  • Exceptional organizational skills and excellent verbal and written communication skills required.
  • Ability to work independently, part of a team and proven ability to meet tight deadlines.
