PRIMARY RESPONSIBILITIES:
Coordinating meetings, appointments and schedules for the VP of Hotel Operations, taking required minutes for specified meetings, and responding to specific hotel related inquiries and requests for the departments.
Preparing, coordinating, and recording a variety of Hotel correspondence and documentation while ensuring all timelines are met and adhered to in the department.
Prioritizing workloads, screening and forwarding emails and phone calls, and performing research when needed.
Performing various administrative duties including photocopying, faxing, scanning, and maintaining confidential records and files.
Scheduling and planning staff events such as holiday parties and employee appreciation events.
Monitoring reviews and donation requests and responding accordingly.
Liaising with other departments in West Edmonton Mall and West Edmonton Mall Inn on a regular basis.
Other responsibilities as required.
DESIRED QUALIFICATIONS:
One (1) to three (3) years-experience working in an administrative hotel support role.
Completion of a related post-secondary diploma focusing on office administration, business administration or hospitality.
An extremely professional attitude and demeanor complemented by excellent client relations skills and the ability to establish strong working relationships.
Strong organizational and time-management skills and the ability to work in a fast-paced, ever changing environment.
Excellent typing and computer skills including a strong working knowledge of MS Office programs Word, Excel, PowerPoint and Outlook as well the ability to adapt to other software programs as required.
TERMS OF EMPLOYMENT:
This is a full-time position required Monday through Friday 8:30am – 5pm.
This position qualifies for West Edmonton Mall's 4-Day Work Week Program upon successful completion of a probationary period.
This is a salaried position and will depend on experience and qualifications.
Must be able to pass a basic security clearance.
