Key duties
Mailroom Administration:
- Oversee daily mailroom operations, including receiving, sorting, processing, and distributing incoming and outgoing mail and courier items.
- Handle sensitive financial documents such as payroll statements, cheques, and other secure materials in accordance with confidentiality and compliance standards.
- Operate and manage mailroom equipment (e.g., postage meters, insert machines, printers) and maintain supplies to support efficient mail processing workflows.
- Coordinate courier shipments and manage mailbags and inter office deliveries for Winnipeg and other Air Canada stations.
- Support periodic high volume mail cycles (e.g., payroll runs, crew statements, year-end documents).
- Maintain a clean, organized, and safe mailroom environment.
- Perform physical tasks including lifting, carrying, pushing, and pulling mail trays, bins, and bags weighing up to 40 lbs.
- Perform core accounting tasks by following established procedures, ensuring accuracy and resolving discrepancies.
- Apply training materials, manuals, and tariffs to complete standardized processes and determine financial valuations.
- Provide professional service to stakeholders, preparing correspondence and requesting missing or corrected information when needed.
- Identify deviations from standard processes, address issues when possible, and escalate when required.
Hiring Req
- Minimum three (3) years of office administration experience
- Degree in progress in Accounting, Finance or related field an asset
- Strong communication skills both written and verbal
- Strong customer service skills
- Ability to not just multitask but to also anticipate process before directed to do so
- Ability to run reports, analyze data and prepare spreadsheets
- Proficiency in Microsoft Office
- Ability to work independently and in a team environment
- Ability to prioritize duties and use good judgement
- Bilingual an asset
