The Opportunity:

Management of all Flight Operations and Maintenance technical publications, overseeing flight publication campaigns, communication with distributors and management of internally controlled documents (hard copy and electronic), vendor supplied documents, third party distribution and control of Jazz documents and technical documents in accordance with company policies and processes.

Key Deliverable:

Managing Flight Operations Controlled Documents

  • Serve as the primary point of contact for all Flight Operations Onboard Library campaigns, coordinating manual and document updates from planning through completion within required timelines.
  • Plan, order, schedule, distribute, and track all Flight Operations documentation using Movement Control and Teams, ensuring accurate delivery based on flying schedules and proper record retention.
  • Maintain control of flight operations documentation, including Stores inventory.
  • Manage all financial and procurement activities related to onboard library campaigns, including purchase orders, inventory controls, and accurate expense entry in Ariba.

Maintaining Internal and External Controlled Maintenance Documents

  • Maintain all internally controlled maintenance documents (hard copy and electronic) in accordance with company policies, including revisions, temporary updates, and technical bulletins.
  • Coordinate the acquisition, revision services, and updates of maintenance documentation from aircraft manufacturers, OEMs, vendors, customers, and other authorized sources.
  • Control and update electronic and hard‑copy documentation across all platforms, including Trax, Teams, ensuring accurate logging and version integrity.
  • Manage externally controlled maintenance documents and service‑provider documentation to ensure incorporation of approved materials, regulatory compliance, and timely receipt of updates.

Publications – Research/Troubleshooting

  • Research, verify, and conduct spot checks of OEM, vendor, and aircraft manufacturer publications to ensure documents in inventory are current, accurate, and properly revised.
  • Troubleshoot access issues and resolve revision or distribution discrepancies by liaising with document owners, suppliers, and internal systems (e.g., JazzNet).

Administrative

  • Research publication availability and costs, coordinate printing and electronic distribution, verify invoices for accuracy, and perform related publications administrative duties as assigned.

Other

  • Perform duties in accordance with established policies and procedures while giving primary consideration to personal safety, and the safety of co-workers and customers.
  • Other related duties as assigned.  

Key Qualifications:

Education, Licenses and Training

  • Post-secondary education in library sciences, business/records management, or computer science is preferred.
  • Safety and quality management training or equivalent experience is an asset.

Required Skills and Experience

  • High level of competency with computer applications, including database administration.
  • Previous experience with library applications and data management software.
  • Strong working knowledge of PC's as well as skills in Microsoft Office Suite - i.e. Word, Access, Outlook, Teams, SharePoint, Internet, Adobe Acrobat Writer, XTML, Metadata, etc., is required.
  • Excellent organization and planning skills and attention to detail. 
  • Demonstrated ability to work effectively both independently and as part of a team.

Additional Qualifications

  • Experience with TRAX and/or OEM applications (i.e., Bombardier, Embraer publications portals, etc.).
  • 3 or more years in an aviation operational or support role.
  • Aviation related training and/or equivalent experience.
  • Familiarity with large documents (i.e. regulatory and non-regulatory manuals).

Language Requirements

  • Effective communication skills in English, both oral and written, are required.
  • French language fluency or working knowledge is an asset.

Note\: This position is currently based in Calgary. However, other Jazz Aviation LC bases may be considered. Montreal or Toronto is preferred.
