Role Summary:
The Project Administrator / Employment Consultant supports the Integrated Employment Services team by coordinating project activities, maintaining schedules and plans, managing assignments, tracking expenditures, and ensuring accurate reporting, audits, and office operations across one or more locations, while also assessing participant needs, identifying employment barriers, and delivering solutions-focused guidance to help individuals secure and retain employment. This dual role involves assisting with job search and retention activities—including attending job fairs, promoting participants to employers, developing tailored retention plans, and providing ongoing coaching—while meeting contractual requirements and ensuring efficient project administration. Candidates should have experience in case management, counselling, employment services, and/or assessment roles.

Education:
Completed post-secondary education in Business Administration from a recognized Canadian Institute or its equivalent Experience:
Minimum three years related project or program administration experience Extensive experience delivering excellent customer service Ability to work collaboratively with all organizational services departments Demonstrated advanced computer skills, working within Microsoft O365, creating databases, networks, applications, hardware, and office equipment Experience in data gathering, analysis, and reporting Experience developing, implementing, and operationalizing project budgets Experience in Project Management an asset Responsibilities:
Coordinate and schedule team activities (to include team scheduling, team meetings, absence coverage, candidate/employer meetings, community partner meetings, audits/quality schedule, Health & Safety schedule, etc.) Actively develop working relationships that demonstrate equity and respect of different cultural perspectives and diversity. Compile, analyze and prepare performance data for submission to the Program Manager on a weekly/monthly basis Coordinate for payments and complete required information as per Business Consistently demonstrate high level communication skills when liaising with Participants, external and internal stakeholders. Consistently demonstrate flexibility and a willingness to meet and adjust to changing management and operational needs. Identify strategies to increase Participant capacity for sustainable employment through vocational counselling, training, retention support, and job search skills. Overall office management (to include maintenance, cleaning, supplies, equipment, alarm system, and liaising with landlord as appropriate) Plan and organize the activities and procedures of the office (to include taking minutes in meetings, creating team action plans with SMART goals and monitoring for timeliness/completion, etc.) Support local new hire orientation and liaise with employees on inquiries regarding general employment practices Ensure document control is being performed in accordance with business need, confidentiality requirements, and project-specific procedures Participate in setup and maintenance of project drives, SharePoint, etc. Tracking and reporting of all project statistics and information to Program Manager Support with ad hoc activities when needed and directed by Program Manager Required Skills:
Advanced user of Microsoft Office (Excel, Word, Outlook)· Professional and friendly communication style (telephone, email, virtual, and in person) Proven experience working within a high-performance driven environment. Ability to work unsupervised in challenging environments. Highly developed interpersonal skills, including negotiation and consultation skills, and the ability to proactively establish and sustain effective stakeholder relationships. Experience in Employment Services and the service delivery issues facing these organizations is an asset Strong organizational skills, work unsupervised, the capacity to successfully manage competing priorities, maintain attention to detail and meet deadlines. Well-developed ability to undertake research and to prepare, collate and organize data. Must be able to provide a clear Enhanced Police Check (Criminal Record and Judicial Matters Check) French language is an asset and requirement in regions designated bilingual
