The Project Coordinator provides essential administrative and operational support for capital construction projects across the portfolio. This role ensures smooth project administration through effective documentation management, financial tracking, and coordination between project stakeholders.

Responsibilities

Project Administration:

  • Maintain and organize project documentation including contracts, permits, warranties, and insurance certificates
  • Set up and coordinate project meetings, prepare agendas, and distribute meeting minutes
  • Track project schedules, milestone dates, and maintain accurate records in project management systems
  • Assist Project Managers with tender document distribution

Financial Administration:

  • Process and track project-related invoices, ensuring proper approvals and coding
  • Track project accounts, draws, budgets, and expenditures
  • Support Project Managers with Capital Expenditure request documentation and basic financial reporting

Contract & Vendor Management:

  • Maintain organized contract files and track contractor compliance documentation
  • Support tender process through document distribution
  • Maintain vendor contact information and documentation
  • Track and coordinate contract renewals and insurance certificate updates

Stakeholder Coordination:

  • Act as a key point of contact for administrative project matters
  • Coordinate with contractors, property management teams, and other stakeholders
  • Update project tracking tools and prepare bi-weekly status reports
  • Support Project Managers with data collection for project reporting
Qualifications
  • Strong organizational skills with exceptional attention to detail, with the ability to manage multiple priorities and meet deadlines.
  • Proficiency in Microsoft Office Suite and construction project management software.
  • Working knowledge of construction terminology and related documentation.
  • Experience coordinating meetings and managing project documentation across multiple internal and external stakeholders.
  • Strong written and verbal communication skills with a professional and confident demeanor in all stakeholder interactions.
  • Experience supporting project accounting functions, including invoice processing, payment tracking, and preparing basic financial summaries and reports.
