Job Description
As part of the MLSE People & Inclusion team, you will have the unique opportunity to support our HR Technology and Communications team as we complete two key software transitions this summer. Throughout this experience, you will gain hands-on exposure to HR Operations, learn how to manage large-scale system transitions, and develop skills in data management, problem-solving, and process improvement. This internship offers a unique opportunity to enhance your understanding of HR technology and its impact on organizational efficiency, while contributing to meaningful projects that support the employee experience.
MLSE's Internship term dates are from May 4, August 28, 2026
Responsibilities:
Document Digitization and Organization
Audit and verify existing digital records to ensure completeness and accuracy.
Maintain a standardized folder and naming structure to ensure orderly and easy access to all digitized documents.
Collaborate with HR team members to identify and resolve any gaps or discrepancies in documentation.
System Transition Support
Assist with the careful migration of data between systems to ensure accurate transfer of content and records.
Conduct data audits to validate the completeness and accuracy of information during transition.
Perform testing to identify issues in the new process and communicate findings to the HR transition team.
Support training sessions by preparing materials and assisting employees in understanding new system features.
Coordinate with employees to collect feedback and identify challenges during the transition.
Administrative and Operational Support
Using various Outlook HR Support mailboxes, respond to employee inquiries regarding system transitions and provide assistance as needed.
Maintain regular progress reports and provide updates to HR leadership on transition timelines and milestones.
Support HR team members in related tasks, such as preparing communications and updating policies as needed.
Process Improvement and Recommendations
Identify opportunities to streamline and improve digitization and system transition processes.
Provide insights and suggestions to enhance the efficiency and user-friendliness of new systems.
Compliance and Confidentiality
Ensure compliance with data privacy and security standards throughout the transition processes.
Maintain confidentiality of sensitive HR data and information at all times.
Qualifications:
Skilled user of Microsoft Office products (Word, PowerPoint, Excel); comfortable providing updates to senior leadership in PPT, using data insights acquired through Excel and responding in a timely manner to emails via Outlook
Strong communication skills (verbal, written and visual) to collaborate with team members across all levels
Ability to work independently and as part of a team in a fast-paced environment
Highly organized with the ability to work on multiple projects / programs with challenging timelines
Creative, curious and engaged approach to optimizing organizational culture initiatives
Accountable for accuracy and timeliness of work within the department
Personal integrity when handling confidential information
Growth mindset, with an eagerness to learn more about HR
Familiarity with HR Software (Workday & Workplace) an asset
Previous internship experience in an HR related field is an asset
