The Program Coordinator provides administrative leadership and operational support to ensure clinic operations run efficiently and consistently. This role oversees scheduling, administrative and testing workflows, and quality initiatives, working closely with the Clinical Manager to improve patient experience, drive service standardization, and promote a culture of collaboration and accountability. As a key member of the leadership team, the coordinator plays an essential role in stabilizing program operations and supporting continuous improvement. 

Summary of duties, but not limited to:

  • Collaborate with interprofessional team members to identify workflow gaps and implement solutions
  • Coordinate the development and implementation of annual work plans and quality submissions
  • Apply Lean principles to streamline processes and reduce administrative burden
  • Prepare data sheets for monthly business unit meetings and present data to team
  • Develop and produce reports for the purposes of program planning and statistic reporting for department and Finance and the leadership team
  • Handle in-person and telephone patient complaints/concerns, investigate with applicable staff and respond back to the patient
  • Maintain Epic visit type lists and request additional visit types as required
  • Oversee administrative operations for clinics, including schedule management, booking templates, workflow coordination for clinics and testing areas, and hiring of administrative staff
  • Supervise and support daily operations, provide coaching and problem solve with the entire administrative team
  • Input bi-weekly payroll for the team
  • Performance management of admin staff – participate in HR consultations, union meetings and issuing of warning/discipline letters in collaboration with the manager
  • Develop and implement SOPs for the department to support seamless patient experiences in collaboration with Clinical Manger
  • Support Management of equipment and supply planning, including maintenance contracts, procurement processes, and safety protocols.
  • As a role model and champion you will work to identify and integrate safe, best practices into daily activities to foster the delivery of safe and exemplary care.

    Qualifications

  • Undergraduate degree in Health Services or Business Administration required
  • 3-5 years of experience in Healthcare or Hospital Operations, with a focus on administrative or program coordination
  • Experience leading teams or overseeing administrative operations in a clinical setting
  • Project management and quality improvement experience considered an asset
  • Strong knowledge of EMRs (EPIC Preferred), Microsoft Office, and data reporting tools.
  • Excellent organizational, problem solving and communication skills
  • Ability to manage multiple priorities in a fast-paced environment with minimal supervision.
  • Strong Management Skill set and Business Acumen.
  • Demonstrated collaboration, flexibility, and leadership in an interdisciplinary setting.
  • Strong commitment to patient-centered care and staff development.
  • Experience with statistical data and reports.
  • Good work and attendance record required
