Accounts Payable Manager

About you:
You are an experienced, detail-oriented accounting professional who thrives in fast-paced, growth-oriented environments. You bring strong expertise in full-cycle accounts payable, are comfortable managing high volumes with accuracy, and enjoy building scalable processes that support a rapidly evolving organization. Collaborative and proactive, you communicate clearly with vendors and internal partners and are motivated by creating structure, visibility, and reliability in financial operations.
What you'll do:

Lead full-cycle accounts payable operations, including invoice intake, review, coding, approvals, and payment processing.

Manage high volumes of invoices while ensuring accuracy, proper authorization, and adherence to company policies and controls.

Oversee payment runs using multiple methods (checks, ACH, wires, credit cards, and foreign currency transactions), ensuring timely and accurate disbursements.

Investigate and resolve payment discrepancies and vendor issues by collaborating with internal stakeholders (procurement, FP&A, department owners) and external vendors.

Ensure compliance with applicable tax and reporting requirements in Canada and the United States, including support for 1099s and other relevant filings in coordination with the broader finance team.

Support month-end and year-end close activities, including AP accruals, cash reconciliations, and variance analysis.

Review and refine AP processes and internal controls, recommending and implementing improvements to increase efficiency, accuracy, and scalability.

Help evaluate and implement new tools, integrations, or system configurations to streamline invoice workflow, approvals, and reporting.

Prepare and maintain AP-related reports and analyses to support cash flow management, budgeting, and other financial decision-making.

Develop and deliver guidance and training for internal stakeholders on AP policies, coding standards, and best practices.

Maintain vendor master data, ensuring appropriate onboarding, documentation, and periodic reviews.
What you need:

Bachelor's degree in Accounting, Finance, Business, or equivalent experience.

5 years of hands-on experience in accounts payable and general accounting operations, ideally in a scaling or multi-entity environment.

Proficient with QBO (or similar general ledger systems), Microsoft Office (especially Excel), and AP or workflow tools.

Strong analytical skills and attention to detail, with a track record of accuracy in a high-volume environment.

Comfortable managing competing priorities and meeting strict deadlines, especially around month- and year-end close.

Clear and professional communicator who builds strong working relationships with vendors and internal teams.

Familiar with basic tax considerations related to vendor payments in Canada and the U.S. (e.g., reporting obligations, withholding scenarios) and willing to partner with tax/finance leads on more complex matters.
Bonus points for:

Experience in a startup or high-growth company, especially in life sciences, medical devices, or technology.

Prior experience implementing or optimizing AP automation tools, expense platforms, or approval workflow systems.

Experience with foreign currency transactions and multi-entity or multi-jurisdiction operations.

Background in strengthening internal controls and supporting audit requests related to AP.

An appreciation for clean reconciliations, thoughtful process documentation, and a positive, solutions-oriented mindset.

Please note: For the Greater Toronto area, the expected salary range for this position is between $120,000 and $140,000 CAD.
Compensation will be determined based on the individual's demonstrated experience, education, training, relevant certifications or licensure, and other applicable business and organizational factors.
