Work Model: Onsite
Location: GBS Manchester, GBS Leeds, or GBS Greenford
Work Hours: 40 hours/week

Role Purpose: Are you ready to make a significant impact? As an Executive Assistant, you will provide high-level administrative, organizational, and strategic support to empower our senior executive to operate effectively and efficiently. This role demands exceptional organizational skills, discretion, and the ability to juggle complex priorities in a fast-paced environment. You will be the vital link between the senior executive, senior leadership, and both internal and external stakeholders.

Key Responsibilities Executive & Operational Support
  • Deliver comprehensive administrative support, managing complex calendars, prioritizing demands, and coordinating meetings across multiple time zones.
  • Act as a key liaison and gatekeeper, managing communications and requests to ensure effective use of the senior executive’s time.
  • Prepare agendas, take minutes, track action items, and support project implementation; create presentations, reports, and briefing materials for meetings.
  • Conduct research and gather data to support leadership decision-making.
  • Establish and maintain efficient filing systems for quick information retrieval.
Stakeholder Management
  • Serve as the primary point of contact between the senior executive and senior leaders, teams, and external partners.
  • Build and maintain strong working relationships to support smooth communication and collaboration.
  • Handle sensitive and confidential information with the utmost professionalism and discretion.
Planning & Coordination
  • Coordinate complex domestic and international travel, ensuring cost-effective and well-planned itineraries.
  • Support planning and logistics for leadership meetings, offsites, and operational reviews.
  • Assist in tracking key operational initiatives, deadlines, and deliverables.
  • Organize meetings and executive events, coordinating dates, venues, attendance, and agendas.
Process & Efficiency
  • Identify opportunities to enhance administrative processes and operational efficiency.
  • Maintain familiarity with the organization’s administrative and board structures, ensuring organized systems for documents and records.
  • Support ad hoc projects and operational initiatives as needed.
Key Skills and Experience Essential
  • Proven experience as an EA/PA at the Senior Executive level.
  • Excellent organizational and time-management skills with the ability to manage competing priorities.
  • Strong written and verbal communication skills.
  • High level of discretion and confidentiality.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and collaboration tools.
  • Ability to work independently, proactively, and under pressure.
Desirable
  • Experience supporting C-suite executives in a complex or fast-paced organization.
  • Experience with board-level administration and reporting.
  • Understanding of operational or commercial environments.
