Job Summary
We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will possess strong computer literacy, excellent communication skills, and the ability to manage multiple tasks efficiently. This role offers an opportunity to work in a dynamic environment, providing essential administrative support across various departments, including front desk management, data entry, and customer service.
Duties
- Manage front desk responsibilities, including greeting visitors and answering multi-line phone systems with professionalism and courtesy
- Perform data entry and maintain accurate filing systems using Microsoft Office, Google Workspace, and other office management tools
- Schedule appointments, manage calendars, and coordinate meetings for staff and executives
- Assist with bookkeeping tasks using QuickBooks and handle basic invoicing or billing procedures
- Provide customer support via phone, email, or in person, ensuring excellent phone etiquette and customer service standards
- Proofread documents for accuracy and clarity before distribution
- Support office management tasks such as supply ordering, document organization, and record keeping
- Handle clerical duties including filing, photocopying, and preparing correspondence
Qualifications
- Proven office experience with strong organizational skills and attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry skills
- Experience with QuickBooks or bookkeeping is preferred
- Excellent communication skills with professional phone etiquette; bilingual abilities are a plus
- Familiarity with multi-line phone systems and front desk operations
- Strong typing skills and computer literacy with the ability to adapt quickly to new software applications
- Previous experience in office management or administrative roles such as medical receptionist or personal assistant is advantageous
- Ability to handle multiple priorities efficiently through effective time management
- Prior clerical experience including proofreading, filing, and calendar management is desirable
