Overview
The Medical Records Coordinator plays a vital role in ensuring the accuracy, organization, and integrity of patient and Florida Heiken Children's Vision program records. This position supports operations by managing electronic and physical medical records, maintaining databases, and assisting with quality assurance and reporting efforts. The ideal candidate is detail-oriented, highly organized, and comfortable working with electronic health record (EHR) systems, databases, and confidential information.

Responsibilities

  • · Scan and attach consent forms and optometry reports in EHR

· Put mobile visit folders together

· Audit folders for Quality Assurance

· Enter consent forms into database

· Maintains all required records.

· Fax vouchers to doctor's office and schools

· Mail vouchers to patients

· Mailing and/or emailing flyers and consents to schools

· Updating/maintaining database information for doctors, schools, documents, etc…

· FedEx glasses to clients or documents to schools/agencies

· Data entry of iCare reports into EHR

o Create reports

o System audit

· Enters all required data into the CHEERS database and reconciliation backup

· Assist with auditing and prepare for grant reports

· Provides back-up support for Heiken Data Entry as needed.

· Check mobile unit folders for compliance.

· Other tasks as assigned

Qualifications:

· High School Diploma required. Associate's degree preferred.

· Minimum one year of experience working with database and running queries/reports.

· Previous experience working in a medical office is preferred.

· Ability to communicate effectively in verbal and written English.

· Bilingual in English and Spanish preferred.

· Working knowledge of Microsoft Office, Outlook and Internet research.

· Ability to learn and use agency database and computer network with efficiency.

· Excellent organizational skills such as planning, prioritizing, organizing workload, handling multiple deadlines.

· Ability to reconcile and write reports as well as business correspondence.

· Excellent communication skills, ability to effectively present information and respond to questions.

· Ability to problem solve.

· Detail oriented and works with a high degree of accuracy.

· Valid Florida Driver's License and ability to travel within the state of Florida.

· High degree of discretion when dealing with confidential information; able to maintain confidentiality under HIPAA standards.

· Must be able to successfully pass a criminal background and a drug test screening.

Pay: $ $19.00 per hour

Expected hours: 37.5 per week
