Position Overview
We are a small, family-owned mental healthcare practice seeking a dependable and detail-oriented
Administrative Assistant
to represent the practice with professionalism, warmth, and respect. This is a
non-clinical role
focused on supporting our front-office operations under the guidance of our Practice Coordinator and Leadership Team.
Primary responsibilities include client communication, administrative coordination, and assisting with routine tasks that help keep the practice running smoothly.
This is a
part-time position
requiring approximately 15-20 hours/week (exact schedule can be discussed/negotiated), with the potential for additional hours in the future based on the needs of the practice. This position is
on-site
at our St. Albans location
.
This role is ideal for someone who enjoys structured administrative work, values professionalism and confidentiality, and is comfortable serving as a welcoming point-of-contact for our current and prospective clients.

Key Responsibilities:
- Answer incoming calls, emails, and web inquiries in a professional and compassionate manner and route service requests appropriately
- Monitor and manage practice email and fax communications
- Send intake packets and other paperwork to prospective and existing clients through our secure client portal
- Track basic administrative follow-ups related to paperwork and client communication
- Assist the Practice Coordinator with other administrative tasks as needed
- Uphold strict confidentiality standards and comply with HIPAA and practice privacy policies at all times
Qualifications:
- High school diploma (or equivalent) required
- Prior experience in an administrative, office, healthcare, or customer service role required; experience in behavioral health settings preferred
- Strong verbal and written communication skills
- Proficiency with Microsoft Office (Word, Excel, and Outlook); experience with Electronic Health Record (EHR) systems strongly preferred
- Highly organized, detail-oriented, dependable, and able to manage routine tasks independently
- Professional, compassionate demeanor
- Ability to work both independently and collaboratively within a small team environment
Compensation:
$14.00-$17.50/hour, commensurate with experience and qualifications
