Data Entry Clerk

• Accurately enter all maintenance and repair activities into the fleet management system using work orders
• Review and validate technician work order submissions for completeness and accuracy
• Update records for parts used, labor hours, service codes, and vehicle history
• Track the status of open, pending, and completed work orders and escalate delays when necessary
• Ensure preventative maintenance and inspection schedules are documented and up to date
• Assist with generating daily, weekly, and monthly reports related to maintenance activity, work order volume, and compliance
• Maintain digital and physical records in accordance with company policies and regulatory requirements
• Communicate with maintenance supervisors and technicians to resolve discrepancies or missing data
• Support administrative tasks such as filing, scanning, and document management as needed
• Assist with accident reports

Qualifications:

Required:

• High school diploma or equivalent
• At least 1 year of experience in data entry or administrative support
• Strong computer skills, including Microsoft Excel and data entry software
• High level of attention to detail and accuracy
• Ability to work under deadlines and handle multiple tasks efficiently
• Strong communication and organizational skills

Preferred:

• Experience with fleet maintenance or work order systems (e.g., Fleetio, RTA, Faster, AssetWorks)
• Familiarity with vehicle or bus maintenance terminology
• Previous experience in a transportation, logistics, or public works environment
