Job Overview
We are seeking a highly organized and proactive Office Manager / Bookkeeper to oversee daily office operations and manage financial records. The ideal candidate will possess strong administrative skills, experience in bookkeeping, and the ability to coordinate various office functions. This role requires excellent communication, organizational skills, and the capacity to supervise team members while ensuring smooth office workflows. The Office Manager / Bookkeeper will play a vital role in maintaining efficient office procedures, managing vendor relationships, and supporting overall business operations.

Responsibilities

  • Oversee daily office operations, including front desk management and clerical tasks
  • Manage calendar scheduling, appointment setting, and event planning for company activities
  • Supervise administrative staff and coordinate team training & development initiatives
  • Handle bookkeeping duties using QuickBooks, including invoicing, expense tracking, and financial reporting
  • Manage payroll processing and human resources functions such as employee records and benefits administration
  • Maintain vendor relationships, negotiate contracts, and oversee procurement processes
  • Develop and monitor budgets to ensure financial efficiency
  • Maintain organized filing systems both digitally and physically
  • Manage multi-line phone systems with professional phone etiquette
  • Ensure compliance with office policies and procedures, including medical office management if applicable
  • Assist with special projects related to office management and administrative support

Requirements

  • Proven experience in office management, bookkeeping, or administrative roles with at least 3 years of relevant experience
  • Proficiency in QuickBooks and MS Office Suite (Word, Excel, Outlook)
  • Strong organizational skills with the ability to multitask effectively in a fast-paced environment
  • Excellent communication skills—both verbal and written—plus professional phone etiquette
  • Supervisory experience managing teams or staff members
  • Knowledge of event planning, vendor management, human resources, payroll processing, and budgeting processes
  • Experience with medical office management is a plus but not required
  • Ability to handle confidential information discreetly and maintain professionalism at all times
  • Strong problem-solving skills with attention to detail and accuracy in record keeping
