Job Summary

Responsibilities

  • Greet visitors and manage front desk operations with professionalism and warmth
  • Help our sales team with translating to our customers throughout the sale process
  • Answer multi-line phone systems promptly, courteously, and efficiently, directing calls as needed
  • Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and other office software
  • Handle filing, document proofreading, and organization of office supplies to ensure a tidy workspace
  • Assist with calendar management, appointment scheduling, and coordinating meetings for staff or clients
  • Support bookkeeping tasks using QuickBooks or similar accounting software for basic financial recordkeeping
  • Provide excellent customer service by addressing inquiries via phone or email and supporting client needs
  • Manage incoming and outgoing correspondence, including emails, mailings, and courier services
  • Maintain office equipment and troubleshoot basic technical issues related to computer literacy tools

Experience

  • Prior office experience in clerical or administrative roles is highly preferred
  • Demonstrated proficiency with Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
  • Experience handling multi-line phone systems and practicing professional phone etiquette
  • Bilingual ability (English & Spanish) is mandetory
  • Proven organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
  • Familiarity with office management procedures such as filing systems, data entry, and proofreading
  • Personal assistant or medical/dental receptionist experience is advantageous but not required
  • Strong typing skills with attention to accuracy and detail in data entry tasks
  • Customer service background emphasizing support-oriented communication and problem-solving skills
