Position Summary
This position works closely with executive leadership and requires flexibility, sound judgment, and the ability to handle sensitive and personal matters professionally.

The ideal candidate is detail-oriented, highly organized, proactive, and capable of managing competing priorities while maintaining strict confidentiality and compliance with company policies, labor regulations, and union requirements.
Responsibilities to include, but not limited to:
· Process payroll weekly on ADP and ensure accuracy against timesheets and maintain PTO documentation.
· Prepare monthly payroll reimbursements, AMEX and overhead reimbursements and true-ups
· Maintain and administer employee benefit plans such as medical, dental, and vision insurance, 401k and other employee benefits. This includes enrollments, terminations, modifications and policy renewals and maintenance. Necessary information must be processed through payroll and coordinated with insurance providers to ensure that all appropriate deductions are met and implemented.
· Ensure compliance with unions and prepare union dues in accordance with union contracts.
· Provide and oversee audits of payroll, workers comp and other benefit programs.
· Answer company main line phone, routing calls, sorting and distributing mail, scanning documents, coordinate mailings and package deliveries
· General office maintenance duties ensuring supplies are in stock and re-ordering of supplies, office security maintenance, printers and machines and equipment
· Assist with recruiting efforts, such as posting positions, coordinating interviews, and preparing offer documentation. Maintain accurate and confidential employee records and HR files for new hire onboarding, enrollments, terminations, and employee status changes
· Submit and process background checks as required.
· Perform additional duties as needed and assigned.
· Maintain strict confidentiality of information
· Support employee relations by maintaining a positive rapport with staff and addressing HR-related inquiries professionally
· Ensure company policies and procedures are consistently followed and documented
Administrative assistant support includes but not limited to:
· Provide administrative support to the Executive Assistant as directed
· Perform confidential tasks as assigned, maintain executive calendar, correspondence, files, schedules, reservations and communications
· Coordinate events, meetings, prepare documents, and assist with special projects
· Handle personal and business-related tasks with utmost discretion
Requirements:
· Prior experience in Human Resources, Payroll (ADP preferred), employee benefits administration, and HR compliance
· Experience with union compliance strongly preferred
· Previous administrative or executive assistant experience preferred
· Strong organizational skills with exceptional attention to detail
· Excellent written and verbal communication skills
· Ability to manage multiple priorities in a fast-paced environment and meet time-sensitive deadlines
· High level of professionalism, reliability, and discretion
· Bachelor's degree in human resources or related field.
· Minimum of two (1-2) years related experience.
Job Type: Full-time
Pay: $55, $65,000.00 per year
