Job Summary:

The Special Projects Coordinator supports NCN's mission and commitment to operational excellence by providing essential administrative and operational support across the network. This role partners with leadership to plan, organize, and execute special projects, events, and high-priority operational tasks that strengthen school systems and ensure students, families, and staff have organized, efficient, and high-quality experiences.

Project Management

  • Manage special projects, ensuring timelines, milestones, and deliverables remain on track.
  • Coordinate logistics for network-wide programming, such as enrollment campaigns and operational launches.
  • Maintains project trackers, dashboards, and communication plans
  • Prepare regular status updates, risk assessments, and recommendations for leadership.

Cross-Department Support

  • Provide operational support to the Director and Managing Director of Operations, including system improvements, compliance, facilities projects, vendor coordination, policy updates, audits, emergency preparedness, and system rollouts.
  • Provide bookkeeping and data entry support related to school-wide purchases.
  • Collaborate with the Director of Operations to support accurate financial reporting.
  • Partner with the Director of Academic & Special Programming to coordinate academic initiatives, program materials, grants, and special events.
  • Support the Executive Director with research, scheduling, presentations, and preparations for board meetings or strategic projects.

Data & Documentation

  • Collect, organize, and analyze data to support decision-making across departments.
  • Ensure documentation is accurate, up to date, and easily accessible (SOPs, manuals, project binders, compliance logs, etc.).
  • Maintain confidentiality and handle sensitive information appropriately.
  • Produce reports, surveys, summaries, and presentations for leadership.

Event & Logistics Coordination

  • Plan and execute network-level meetings, retreats, PD days, and special events.
  • Manage logistics for school-wide or network-wide initiatives (transportation, materials, communication, space setup).
  • Support family engagement events, academic showcases, or community partnerships as needed.

Communication & Stakeholder Support

  • Serve as a liaison between departments to ensure clear, organized communication.
  • Communicate project updates for leadership teams and school staff.
  • Respond promptly to inquiries and escalate concerns to appropriate leaders.
  • Maintain professionalism when interacting with families, partners, vendors, staff, and students.

Compliance & Reporting Support

  • Assist with network compliance submissions (state reporting, audits, grant documentation, safety drills)
  • Track deadlines and ensure all required documentation is submitted timely and accurately
  • Coordinate with school-level teams to collect needed information.

Other Duties as Assigned

Minimum Required Qualifications:

  • Bachelor's Degree in a related field required
  • At least 2–4 years of administrative, operational, or project coordination experience, preferably in a school or nonprofit setting.
  • Excellent written and verbal communication
  • Ability to manage shifting priorities and support multiple leaders.
  • High attention to detail and discretion with sensitive information

Preferred Qualifications

  • Prior project management or administrative experience
  • Strong organizational and project management skills
  • Experience in school and/or nonprofit operations
  • Experience working in a fast-paced environment
