About the Role

The Event Coordinator supports the planning and execution of live events by managing logistics, organizing planning documents, coordinating communication, and providing hands-on event-day support. This role works closely with an Event Planner and plays a key part in ensuring events run smoothly and clients feel supported throughout the planning process.

This is a non-exempt, hourly role with eligibility for overtime and performance-based incentives.

Compensation & Incentives

  • Hourly rate: $30.00–$35.00

Performance Incentive Plan

In addition to base compensation, this role is eligible for participation in a performance-based incentive program. Incentives are designed to reward strong business results, exceptional client experience, and strategic contribution to event success.

Performance incentives are primarily tied to:

  • Revenue generation through upselling of services, enhancements, rentals, and upgrades, with incentive weighting varying by the type of service sold and the complexity of the event program;
  • Incremental revenue achieved above the client's original contracted value; and
  • Consistent achievement of outstanding client satisfaction, including the attainment of verified 5-star client reviews.

The structure, metrics, and payout mechanics of the incentive program are established by the Company and may be refined periodically based on business needs, market conditions, and operational priorities. Participation in the incentive program is not guaranteed and does not alter the at-will nature of employment.

Key Responsibilities

  • Create and maintain event timelines, layouts, run-of-show schedules, and planning documents
  • Support client communications and planning meetings
  • Coordinate menu tastings, catering details, and dietary needs
  • Manage vendor logistics, confirmations, and planning deadlines
  • Assist with Banquet Event Orders (BEOs) and final event checks
  • Support rehearsals and event-day execution, including setup and strike
  • Ensure accuracy, organization, and adherence to planning standards

Required Qualifications

  • 2–3 years of experience in event coordination, hospitality, catering, or venue operations
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Ability to manage multiple events and deadlines
  • Availability to work evenings, weekends, and holidays as required

Preferred Qualifications

  • 4+ years of experience in events or hospitality
  • Experience with weddings, corporate events, or large-scale productions
  • Familiarity with BEOs, catering operations, or production schedules
  • Degree or coursework in Event Management, Hospitality, or a related field

Work Schedule & Environment

This role requires schedule flexibility, including evenings, weekends, and holidays. Work may involve extended periods of standing and walking, lifting up to 25 pounds, and working in dynamic event environments. Reasonable accommodations may be provided in accordance with applicable law.
