Job Summary
We are seeking a dynamic and highly organized Office Manager to lead our administrative operations and ensure the smooth functioning of our office environment. This pivotal role combines leadership, administrative expertise, and operational oversight to foster an efficient, welcoming, and productive workplace. The ideal candidate will excel in managing daily office activities, supervising staff, coordinating vendor relationships, and supporting overall business objectives with enthusiasm and professionalism.

Responsibilities

  • Oversee daily office operations, including front desk management, multi-line phone systems, and calendar scheduling to ensure seamless communication and workflow.
  • Supervise administrative staff, providing training, development opportunities, and ongoing support to foster a motivated team environment.
  • Manage vendor relationships by negotiating contracts, coordinating services, and maintaining positive partnerships to support office needs.
  • Handle bookkeeping tasks such as invoicing, filing financial records, and utilizing QuickBooks OnLine for accurate financial tracking.
  • Support human resources functions including onboarding new employees, maintaining personnel records, and assisting with payroll processing.
  • Assist with budgeting efforts by monitoring expenses, preparing reports, and ensuring cost-effective use of resources.
  • Maintain organized filing systems—both digital and physical—to ensure quick access to important documents and compliance with recordkeeping standards.
  • Manage office supplies inventory and procurement processes to keep the workspace fully equipped at all times.
  • Ensure excellent communication across departments through effective schedule management and clear dissemination of information.

Requirements

  • Proven experience in office management or administrative roles within a professional setting.
  • Demonstrated supervising experience with strong team management skills.
  • Proficiency in QuickBooks OnLine accounting software along with solid bookkeeping skills.
  • Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
  • Strong communication skills—both verbal and written—and exceptional phone etiquette for front desk interactions.
  • Experience in vendor management, calendar management, and training & development initiatives.
  • Knowledge of human resources processes including payroll administration and employee onboarding procedures.
  • Familiarity with multi-line phone systems, filing systems, and general clerical duties within an office setting.
  • Ability to handle confidential information discreetly while maintaining a professional demeanor at all times.
