Job Summary
We're looking for a detail-oriented, proactive Permit Coordinator to support our Dispatch Department and help keep our projects running smoothly. This position ensures compliance with municipal requirements and provides essential communication and documentation support to our internal teams, customers, and city officials. This is a full-time position ideal for someone who enjoys organization, multitasking, and interacting with both field and office teams.
Key Responsibilities:
- Submit, track, and manage permit applications with city and municipal offices for HVAC, plumbing, and electrical projects.
- Schedule inspections and communicate with city inspectors to ensure timely approvals.
- Assist the Dispatch Department in scheduling and dispatching technicians to job sites.
- Communicate with clients to confirm appointment details, updates, and scheduling changes.
- Ensure technicians have all necessary job details, permits, and documentation before dispatch.
- Maintain accurate and organized permit records, inspection reports, and related documentation.
- Perform clerical duties including data entry, scanning, filing, and digital record management.
- Use digital tools such as iPads, Service Titan, and email to manage project communication and documentation.
- Serve as the main point of contact between city inspectors, internal teams, and clients regarding permit and inspection updates.
- Provide clear and timely updates to the Dispatch Department and Project Managers.
Qualifications:
- Strong organizational and administrative skills with excellent attention to detail.
- Effective written and verbal communication abilities.
- Comfortable managing multiple priorities and working independently.
- Proficient with digital tools (iPads, mobile devices, email, and basic office software).
- Experience with municipal permitting or HVAC/plumbing/electrical terminology is a plus.

Pay Range
$20 — $22 USD
