Job Summary
As our new Seasonal Receptionist in the Tallahassee office, your day begins by preparing the front desk and reviewing the appointment schedule. You will greet clients, answer and route phone calls, schedule appointments, and ensure client documents are properly printed, processed, and organized for preparers. Throughout the day, you will manage secure document drop-offs and pick-ups, perform accurate data entry, and provide ongoing administrative support to the team. During peak tax season, the environment is quite fast-paced and requires strong multitasking, attention to detail, and a professional, client-focused attitude. You will be the first impression of the business, so beginning each day with a good attitude and a smile goes a long way Some days will include extended hours and Saturdays as client volume increases.

We are also looking to fill an executive assistant role. As Northside Tax Services' new Executive Assistant, you will be immersed in technology daily by serving as a primary buffer to reduce workload pressure on our preparers. You will begin each day by managing our senior leadership email accounts while overseeing client communications across email, phone, and portal systems. You will have high-level overviews to handle clients' concerns, manage any overflow, and ensure the timely, organized movement of client files. As the workflow supporter, you can also expect to be printing finalized tax returns and coordinating with clients on the status of their returns. Primarily, you will be supporting a structured, efficient process from intake to completion.

Duties

  • Greet visitors and clients in a courteous and professional manner at the front desk
  • Manage multi-line phone systems, directing calls efficiently and professionally
  • Handle incoming and outgoing correspondence, including emails and mail processing
  • Maintain appointment calendars and schedule meetings using Microsoft Office, Google Workspace, or other relevant tools
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization
  • Assist with bookkeeping tasks using QuickBooks or similar software as needed
  • Support office management activities such as supply ordering, inventory tracking, and record keeping
  • Provide customer support via phone, email, or in person, ensuring excellent service standards
  • Manage administrative tasks including typing documents, organizing files, and maintaining office records
  • Coordinate calendar management for staff or executives and assist with personal assistant duties if required

Requirements

  • Proven experience in office administration, clerical work, or related roles; experience as a medical or dental receptionist is a plus
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills
  • Familiarity with QuickBooks or bookkeeping software preferred
  • Excellent phone etiquette with experience managing multi-line phone systems
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Exceptional organizational skills with the ability to prioritize tasks efficiently
  • Attention to detail in proofreading documents and managing schedules
  • Strong customer service skills with a professional demeanor at all times
  • Ability to handle confidential information discreetly and responsibly
  • Previous experience in office management or personal assistant roles is advantageous

Work Schedule For Executive Assistant


• Position begins in December and concludes in mid-April


• Typical hours throughout the season: 9:00 AM – 3:00 PM, Monday–Friday


• Hours increase mid-season to approximately 30–35 hours per week beginning mid-January


• Some Saturdays required (9:00 AM – 3:00 PM)

Work Schedule For Receptionist


• Position begins in December and concludes in mid-April


• Typical hours: 8:00 AM – 5:00 PM, Monday–Friday


• Hours increase mid-season to approximately 35–45 hours per week

• Every other Saturday required (9:00 AM – 3:00 PM)


• Overtime is expected during peak tax weeks

Pay: $ $17.00 per hour

Expected hours: 30.0 – 45.0 per week
