Summary of Responsibilities:
The Client Experience & Operations Coordinator serves as the firm's first point of contact and operational anchor . This role is responsible for delivering a consistently professional, welcoming client experience while ensuring the daily operations of the office run smoothly.
Success in this role enables advisors and staff to focus on client strategy and relationship management with confidence, and allows us to maintain high standards of service, responsiveness, and organization.

Key Outcomes & Responsibilities:
Client Experience & Brand Representation
As the face and voice of the firm, you set the tone for the client experience. You will be depended upon to:
· Welcome clients and visitors into the office in a warm and professional manner with gracious hospitality.
· Respond to client inquiries within 8 hours
· Documented the CRM (client database) immediately with the appropriate information.
· Review tasks every morning to ensure clients' needs are met or exceeded.
· Proactively keep team members informed of outstanding tasks, priorities, and unresolved issues.
Client Meeting Coordination & Follow-Through
· Follow existing procedures to ensure client meetings are scheduled within the appropriate time frame, for the correct amount of time, and there is no duplication of overlap with appointments.
· Update calendars appropriately with extra time built in as needed.
· Prepare and ensure client paperwork is processed accurately and in a timely manner. Gather and prepare applications/forms, obtain appropriate signatures, prepare documentation, and track applications.
· At the conclusion of client meetings, document and facilitate the follow-up tasks within 24 hours, to ensure they are completed in the required timeframe and are documented in CRM.
· Ensure client information is organized, current, and consistently maintained across files and systems to enable efficient service and follow through.
Knowledge/Skills/Competencies Required:
· At least 2 years of experience in an administrative, operations or client-facing role
· Associate's degree in business, administration or a related field
· Demonstrated ability to manage multiple priorities in a fast-paced environment.
· Superior organizational skills
· Exceptional detail orientation and follow-through
· Strong verbal and written communication skills
· Proficiency with computer programs, including MS Excel and Word
We offer a Generous Salary from $50,000 - $60,000, based on experience, plus great benefits, to include health, dental, paid time off, and 401K.
