Job Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. This role is essential in supporting daily office operations, managing communication, and ensuring the smooth functioning of our administrative processes. The ideal candidate will possess strong computer skills, excellent organizational abilities, and prior office or clerical experience. Bilingual skills are a plus, as well as familiarity with various office management tools and customer service practices. Duties
- Manage front desk responsibilities, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
- Perform data entry, filing, and document proofreading to maintain accurate records
- Utilize Microsoft Office Suite and Google Workspace for correspondence, reports, and scheduling
- Coordinate calendar management and appointment scheduling for staff or executives
- Handle customer support inquiries via phone or email, providing exceptional service and support
- Support office management tasks such as mail distribution, and maintaining office organization
- Provide personal assistant support when needed, including special projects
- Maintain a professional environment by adhering to phone etiquette and organizational standards
Experience
- Prior office management or administrative experience preferred, including clerical roles such as receptionist or personal assistant
- Proficiency with Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications
- Experience Salesforce is desirable
- Strong organizational skills with the ability to multitask efficiently in a fast-paced setting
- Excellent communication skills, both verbal and written; bilingual abilities are advantageous
- Familiarity with multi-line phone systems and front desk operations
- Demonstrated ability to manage calendars, perform data entry accurately, and handle customer service interactions effectively
- Knowledge of office procedures such as filing, proofreading, and time management techniques
Pay: From $15.00 per hour
Expected hours: No more than 40.0 per week
