Great Plains Annual Conference

Schedule: Up to 30 hours per week

Core Position Objectives

The District Office Administrative Assistant supports the mission of the Great Plains Annual Conference to equip and connect congregations to make disciples of Jesus Christ for the transformation of the world. This position provides administrative, organizational, communication, and hospitality support to the District Superintendent (DS) and ensures the smooth and efficient operation of the district office. This role also aids clergy, congregations, and district leadership.

The position is part-time and non-exempt.

Essential Duties & Responsibilities:

The District Office Administrative Assistant provides administrative support to the District Superintendent, district committees, clergy, and local churches. Essential functions include but are not limited to:

  1. District Communications & Publications

  2. Serve as a welcoming point of contact by phone and digital communication for clergy, laity, and congregations.

  3. Connect clergy and lay members to the District Superintendent or Conference Office Staff.
  4. Produce newsletters, forms, correspondence, documents, and resource materials.
  5. Share district announcements, training notices, Charge Conference instructions, clergy communication, and event information.
  6. Update district web page content and social media as requested.

  7. Clergy, Congregation, and District Administration Support

  8. Communication support and tracking of conference required church and clergy forms.

  9. Oversee distribution and collection of Clergy Assessments and Consultations (March–September)
  10. Oversee distribution and collection of Appointive Recommendation Forms (September-December)
  11. Assist with appointment season processes, forms, and database updates.
  12. Coordinate Charge Conference scheduling, materials, and document collection.
  13. Manage appointment cycle documentation January–June, ensuring timely processing of forms and system updates. (Conference charge conference forms)
  14. Maintain clergy and church records (electronic and physical).

  15. Office & Technology Administration

  16. Manage DS calendar, calls, email support, scheduling, travel logistics, and meeting preparation.

  17. Order office supplies and maintain office resources.
  18. Use district-supported platforms, which may include Microsoft 365, Zoom, SurveyMonkey, Doodle, , Safe Gatherings, and database systems.

  19. Financial and Payroll-Related Administration

  20. Confirm ADP payroll entries (approximately the 8th and 23rd each month).

  21. Complete Concur Visa statements and receipts by the 7th.
  22. Complete and process the District Office Visa receipts and coding per the schedule provided.
  23. Report hours worked in ADP payroll system per the schedule provided.
  24. Complete and process District Office check/ACH requests for
