Job Title: Project Coordinator
Location: Meridian, ID
Job Summary
The Project Coordinator plays a critical supporting role in the successful execution of architecture and interior design projects, assisting projects through the entitlement and permitting process, and to the firm's quality standards. This role requires exceptional organizational skills, attention to detail, and the ability to manage documentation, communication, and scheduling across multiple simultaneous projects.
Key Responsibilities
- Project Documentation & Organization:
- Maintain and organize all project files, including contracts, drawings, specifications, submittals, and change orders.
- Ensure all documentation is current, accurately filed, and accessible to the project team and external stakeholders.
- Construction Administration Assistance: Manage the flow of RFI's (Requests for Information) and submittals, ensuring they are logged, routed, and returned in a timely manner. Track and document all correspondence related to these processes.
- Communication & Collaboration:
- Schedule and coordinate project meetings, prepare agendas, and distribute comprehensive meeting minutes promptly.
- Assist in preparing project reports, presentations, at the direction of Project Managers.
- Administrative & Schedule Support:
- Coordinate project schedules, deliverables, and milestones with Project Managers. Keep PM software updated.
- Zoning & Permitting Assistance / Expeditor:
- Assist in preparing submittal packages including completing Jurisdiction Applications and Documents, obtaining signatures on documents from Client, and ensuring all checklist items are complete for submission.
- Complete and submit applications to jurisdictions, monitor approval process, and provide updates in weekly PM meetings of critical items in the approval process.
- Coordinate with internal and external project team for any review items, and finalize fee payments made by external parties for final issuance.
Qualifications
- Education: Experience or education in a related field preferred - Architecture, interior design, planning, engineering or construction.
- Skills:
- Proven ability to multitask, prioritize work, and manage time effectively under deadlines.
- General computer skills.
- Strong command of Google Workspace or similar software.
- Familiarity with industry-specific software (e.g., Revit, Bluebeam, Adobe Creative Suite) is a plus.
- Excellent written and verbal communication skills.
- Attributes: Detail-oriented, proactive, resourceful, and professional demeanor.

Job Type: Full-time
Pay: From $18.00 per hour
