We are seeking a
Part-Time Executive Assistant – Client & Practice Support
to work directly with the Lead Advisor and support the execution of his planning process, client communications, and day-to-day priorities.
Role Overview
This is a
professional services Executive Assistant role
, not a personal assistant role.
You will act as the Lead Advisor's
organizational and execution partner
, ensuring that:
- Client communications are timely and professional
- The advisor's calendar and priorities are well-managed
- Projects, tasks, and follow-ups move forward on time
- Systems, documentation, and workflows stay organized
The Lead Advisor drives planning, strategy, and big-picture thinking.
Your role is to
make sure the work gets done, on time, and with precision
.
Hours:
15–25 hours per week (with potential to expand over time)
Location:
Remote-friendly; Mountain Time availability strongly preferred
Who You Support
This role supports:
- The
Lead Advisor - His personal client relationships
- His planning cadence, systems, and ongoing projects
Success is measured by
organization, execution, responsiveness, and client experience

Key Responsibilities
Executive & Practice Support
- Manage the Lead Advisor's calendar, scheduling, and meeting flow
- Assist with inbox management, prioritization, and follow-ups
- Track ongoing projects, deadlines, and action items
- Serve as a buffer to distractions and ad hoc requests
- Create structure around tasks, priorities, and commitments
Client Communications & Service
- Draft and send professional client emails and follow-ups
- Coordinate meeting scheduling, confirmations, and prep
- Support onboarding and ongoing client service requests
- Ensure clients feel proactively supported and informed
CRM, Planning & Workflow Support
- Maintain accurate records in Salesforce CRM
- Track client tasks, planning milestones, and follow-through
- Support planning workflows and implementation steps
- Assist with eMoney or other planning software (experience is a plus)
Content, Documentation & Systems
- Assist with social media engagement and content creation
- Draft and organize SOPs, internal documentation, and workflows
- Create PDFs, client-facing materials, and internal process docs
- Help keep systems organized, current, and usable
Ideal Candidate Profile
You likely have experience as:
- An Executive Assistant in
wealth management, law, accounting, or consulting
, or - A client service / operations professional in a professional services environment
You are:
- Exceptionally organized and detail-oriented
- Comfortable managing multiple priorities independently
- A strong written and verbal communicator
- Proactive, reliable, and execution-focused
- Comfortable working closely with one primary decision-maker
Preferred (But Not Required)
- Experience in wealth management or financial services
- Familiarity with Salesforce, eMoney, or planning software
- Experience managing social media or digital content
- Life & Health license and/or Series 7 / 66 (or willingness to obtain)
