The Office Manager plays a critical role in holding those systems together.

Position Summary

The Office Manager is the operational backbone of Proof Bread's administrative, HR, and payroll functions. This role requires a highly organized, detail-oriented, and people-centered professional who can manage multiple priorities while maintaining trust, confidentiality, and consistency.

This position works closely with bakery managers, department heads, ownership, and external partners to ensure that our people are supported, payroll is accurate, communication flows smoothly, and administrative systems scale alongside the business.

Core Responsibilities

Human Resources & People Operations (Primary Focus)

  • Post open roles across hiring platforms and manage applicant pipelines
  • Screen resumes, conduct initial phone screens, and coordinate interviews
  • Partner with bakery managers and department heads to understand staffing needs
  • Coordinate onboarding, offboarding, and employee documentation
  • Maintain employee records and ensure compliance with labor requirements
  • Support performance review cycles, promotions, and role changes
  • Act as a trusted, neutral point of contact for employee questions and concerns
  • Assist leadership in maintaining a culture of accountability, clarity, and care

Payroll & Benefits Administration

  • Administer payroll accurately and on time, in coordination with leadership
  • Manage timekeeping systems and ensure proper approvals
  • Handle payroll changes, corrections, and reporting
  • Coordinate PTO tracking and requests
  • Support benefits administration, including health insurance enrollment and changes
  • Serve as the internal liaison with payroll and benefits providers

Office Administration & Systems

  • Manage Basecamp communications and ensure projects and messages are organized
  • Support scheduling across departments and leadership calendars
  • Manage shared inboxes and route inquiries appropriately
  • Oversee bill pay, invoices, and basic cash flow coordination
  • Maintain organized digital and physical filing systems
  • Support vendor relationships and administrative contracts
  • Assist with budgeting, reporting, and financial organization as needed

Cross-Functional Support

  • Collaborate with leadership on process improvement and systemization
  • Identify inefficiencies and proactively suggest solutions
  • Support special projects tied to growth, expansion, or operational upgrades
  • Help ensure consistency across locations and departments
  • Work directly with ownership on ad-hoc projects and tasks as needed

Qualifications

  • 3+ years experience in HR coordination, office management, or people operations
  • Strong working knowledge of payroll and HR systems (we use Gusto)
  • Exceptional organizational and communication skills
  • High attention to detail and follow-through
  • Ability to handle sensitive information with discretion and professionalism
  • Comfort working in a fast-paced, ever-changing entrepreneurial environment
  • Proficiency with digital tools (Basecamp, Gusto, Microsoft, email, spreadsheets, scheduling tools)
  • Experience in hospitality, food production, or multi-location businesses is a plus

Compensation & Benefits

  • Approx Salary Range: $60,000–$70,000 annually, depending on experience, paid hourly to begin (can be converted to salary after max of 3 months)
