Job Summary
As an Office Manager, you will be the heartbeat of our organization, ensuring that our office runs smoothly and efficiently. You will play a vital role in managing daily operations, overseeing administrative functions, and supporting our team to achieve their best. Responsibilities

  • Oversee daily office operations, including front desk management, multi-line phone systems, filing, and clerical tasks to ensure seamless workflow.
  • Manage scheduling for meetings, appointments, and events, including event planning and logistics coordination.
  • Supervise administrative staff, providing training and development opportunities to enhance team performance.
  • Coordinate vendor management activities, including negotiating contracts and maintaining relationships with service providers.
  • Handle human resources functions such as onboarding new employees, maintaining personnel records, and supporting payroll processes using QuickBooks or similar accounting software.
  • Assist with budgeting, bookkeeping, and expense tracking to ensure financial accuracy and accountability.
  • Support medical or specialized office management tasks as needed, including compliance with relevant regulations.
  • Maintain organized records through filing systems and ensure confidentiality of sensitive information.
  • Promote effective communication across departments by managing calendar schedules and ensuring timely information flow.
  • Support team-building initiatives and contribute to a positive office environment through proactive engagement.

Qualifications

  • Proven experience in office management or administrative roles within a professional setting.
  • Supervising experience with demonstrated leadership skills in managing teams.
  • Proficiency in QuickBooks or comparable accounting software for payroll and bookkeeping tasks.
  • Strong organizational skills with the ability to manage multiple priorities efficiently.
  • Experience with event planning, vendor management, and budget oversight.
  • Excellent communication skills—both verbal and written—and phone etiquette expertise.
  • Knowledge of human resources procedures including onboarding, training & development, and employee relations.
  • Familiarity with medical office management or specialized administrative environments is a plus.
  • Ability to operate multi-line phone systems and manage calendar scheduling effectively.

Job Type: Full-time

Pay: $ $25.00 per hour

Expected hours: 32 – 40 per week
