Job Overview:
We are seeking a detail-oriented, professional, and friendly individual to join our property management firm at our Naples office. As a Part-Time Receptionist & Property Management Support, you will be responsible for greeting clients and visitors, handling financial transactions, organizing mail and documents, performing property inspections, and supporting general administrative tasks. The ideal candidate will have excellent organizational skills, a professional demeanor, and the ability to travel to various property locations as needed. Familiarity with computer systems, Slack, and Gmail is essential.

Key Responsibilities:

  • Reception & Client Interaction:
  • Greet visitors and clients in a friendly, professional manner.
  • Answer phone calls and direct inquiries to the appropriate team members.
  • Provide excellent customer service to all visitors and clients, answering general questions regarding the company.
  • Banking & Financial Duties:
  • Deposit checks and manage any incoming payments.
  • Write and send company checks for vendors and clients as needed.
  • Maintain accurate records of financial transactions.
  • Mail Management:
  • Sort, organize, and distribute incoming mail.
  • Prepare outgoing mail and packages, including shipping of documents or packages as necessary.
  • Document Management:
  • Print, prepare, and organize documents required for meetings, inspections, and client correspondence.
  • Ensure that all property-related documentation is properly filed and easily accessible.
  • Send documents via mail or electronically as required.
  • Property Inspections & Travel:
  • Attend property inspections, take detailed notes, and report findings.
  • Travel to various property locations, requiring long drives (up to 3 or more hours), to attend meetings or conduct inspections.
  • Assist with scheduling and organizing inspections, ensuring all required materials and documentation are prepared in advance.
  • General Administrative Support:
  • Perform general office duties such as data entry, filing, and organizing records.
  • Assist with gathering records and documents as requested by team members or clients.
  • Drop off or pick up documents from clients or vendors as needed.
  • Computer & Communication Tools:
  • Proficient use of computers for various tasks, including email correspondence, document preparation, and data entry.
  • Experience with Slack for team communication and collaboration.
  • Experience with Gmail for email management and communication.
  • Ability to manage tasks and deadlines using digital tools effectively.

Qualifications:

  • High school diploma or equivalent required; additional certification or training in office administration or property management is a plus.
  • Previous experience in a receptionist or administrative role is preferred.
  • Proficient with computer systems and technology, including experience with Slack and Gmail.
  • Excellent verbal and written communication skills.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Ability to work independently and handle responsibilities with minimal supervision.
  • Comfortable with driving long distances (3+ hours) to attend meetings or inspections.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and basic office equipment (copiers, fax machines, etc.).
  • Ability to handle sensitive information and maintain confidentiality.
  • Reliable, punctual, and able to maintain a positive and professional attitude.

Physical Requirements:

  • Ability to sit or stand for extended periods.
  • Must have a valid driver's license and reliable vehicle for travel.
  • Ability to lift and carry light office supplies or files.

Work Environment:

  • Office setting with occasional travel to properties or meetings.
  • Must be able to work in a fast-paced environment with a variety of tasks and deadlines.

Pay: $ $16.00 per hour

Expected hours: 15.0 – 20.0 per week
