Job Overview
We are seeking a dynamic and energetic Event Coordinator to lead the planning, organization, and execution of a wide variety of on premise events. This role offers an exciting opportunity to craft memorable experiences, manage multiple projects simultaneously, and create lasting experiences for patrons. As an Event Coordinator, you will be instrumental in ensuring each event runs smoothly from concept to completion, delivering outstanding guest experiences and exceeding client expectations.
Duties
- Coordinate aspects of event planning, including showing venue selections, coordinating in-house catering arrangements, entertainment, and logistics for events.
- Help coodinate contracts with clients through the booking process.
- Develop comprehensive event timelines and budgets to ensure timely execution within financial parameters
- Manage any outside vendor relationships and oversee catering services, banquet setups, and hospitality arrangements
- Implement effective marketing strategies to promote events and increase attendance through various channels
- Upsell additional services or packages to enhance event offerings and maximize revenue opportunities
- Oversee on-site event management, ensuring seamless operations and exceptional guest services throughout the event duration
- Collaborate with clients or internal teams to understand their vision, provide expert guidance, and deliver tailored event solutions
- Handle all aspects of event marketing campaigns to boost visibility and engagement
- Maintain detailed records of contracts, invoices, guest lists, and other essential documentation
- Ensure compliance with health & safety regulations and uphold high standards of customer service
Experience
- Proven experience in event planning or coordination within hospitality, hotel management, restaurant operations or fundraising environments
- Strong negotiation skills with a track record of securing favorable contracts and vendor agreements
- Familiarity with event marketing strategies and upselling techniques to increase revenue streams
- Experience managing large-scale events such as banquets, conferences, weddings or corporate gatherings
- Excellent communication skills to liaise effectively with clients, vendors, staff and guests
- Exceptional organizational skills with the ability to manage multiple projects simultaneously under tight deadlines
- Knowledge of budgeting processes and experience handling contracts related to catering, venue rentals or hotel services
- Prior banquet or restaurant experience is highly desirable; hotel or hospitality background is a plus
- Demonstrated ability in guest services and customer satisfaction within fast-paced environments
