George Fox University's Advancement team is looking for an experienced administrative support person to join their team as a Temporary Advancement Coordinator to provide essential support for Spring events and communications.
About the Job:
As part of the Donor Relations team within Advancement, the Temporary Advancement Coordinator provides high-level administrative support to the VP of Advancement, coordinates logistics for donor events and programs, and manages office operations and Advancement team culture initiatives.
Job responsibilities include, but are not limited to:
- Providing logistics, data, and communication support for the Vice President of Advancement (10%).
- Managing logistics and follow-up for VP-level meetings in a timely and competent manner.
- Coordinating multi-departmental meetings, preparation, and follow-up.
- Supporting good team communication by following up with team members and our partners to keep everyone informed of plans, changes, and policies.
- Coordinating with all Advancement teams to ensure that a student worker or member of Advancement is at Reception Mon.-Fri. from 8:30-4:30.
- Ensuring VP and President donor contacts are up-to-date in Advancement CRM.
- Reconciling VP's credit card and approving team credit card reconciliations.
- Coordinating logistics and communication for donor events and engagement efforts (60%)
- Coordinating donor event logistics, including mailings, planning, RSVP tracking, staffing, and on-site execution.
- Collaborating with the President's Office Events Coordinator to ensure that Advancement's goals are met for each event in terms of guest invitations, logistics, and activities
- Recruiting Advancement team volunteers to support event staffing and logistics when needed.
- Assisting with annual Giving Society mailings, including merging and printing letters and labels, and assembling materials for mailing.
- Assisting with donor engagement plans and systems for first-time donors, monthly donors and scholarship donors.
- Offering support for alumni events and engagement when needed.
- Advancement Team and Office Management (20%).
- Ensuring professional appearance and upkeep of the Advancement Office space.
- Ordering and maintaining inventory of all office and mailing supplies.
- Recording and distributing minutes for team meetings, trustee meetings, and meetings with campus partners, as applicable.
- Participating in projects and other duties as needed (10%).
- Assisting with printing and mailing as needed.
- Supervising student worker(s) where applicable.
- Communicating effectively and courteously with others, including employees, students, and the public, in a spirit of teamwork, respect and customer service.
- By actions, words, and lifestyle, be a Christian role model to students, whether through casual contact or in a formal supervisory role.
- Demonstrating awareness, respect, and appreciation for diversity of culture, background, race, sex, political views, expressions of faith, etc. and works well with a variety of people.
- Other duties as assigned.
We're looking for candidates who have:
- An Associate's degree or equivalent experience.
- A minimum of three years of administrative support experience.
- Excellent aptitude for managing multiple tasks with competing deadlines.
- Superb professionalism and people skills.
- A resilient and adaptive attitude that is results-oriented.
- An ability to collaborate across teams and divisions to deliver a good product.
- A demonstrated ability to organize events and work well with logistics.
- Experience with budget software.
- Excellent MS Office, Zoom, and other applicable software skills.
- Excellent communication skills.
