Overview
We are seeking a highly organized and proactive Executive Personal Assistant to support senior management with a wide range of administrative and operational tasks. The ideal candidate will possess exceptional communication skills, strong attention to detail, and the ability to manage multiple priorities efficiently. This role offers an exciting opportunity to work closely with executive leadership, providing essential support to ensure smooth daily operations and project execution.

Responsibilities

  • Manage and maintain executive calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events with precision.
  • Coordinate complex travel arrangements, including booking flights, accommodations, and transportation.
  • Prepare and edit correspondence, reports, presentations, and other documents with high accuracy through proofreading and transcription.
  • Handle incoming calls via multi-line phone systems with professional phone etiquette; screen and direct calls appropriately.
  • Organize and maintain filing systems—both physical and digital—ensuring easy retrieval of documents.
  • Assist with event planning for corporate meetings, conferences, or special events, including logistics coordination.
  • Perform data entry and bookkeeping tasks using QuickBooks; manage invoices, receipts, and expense reports.
  • Provide executive administrative support such as drafting emails, managing office supplies, and overseeing office management duties.
  • Support project coordination efforts by tracking deadlines, preparing agendas, and following up on action items.
  • Conduct research as needed for various projects or initiatives; prepare summaries or reports for review.

Skills

  • Proven experience in office management, administrative support, or personal assistant roles.
  • Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Excellent typing speed and proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) along with Google Workspace tools.
  • Familiarity with Microsoft Outlook Calendar, Office experience, and multi-line phone systems.
  • Experience with bookkeeping software such as QuickBooks; basic bookkeeping knowledge preferred.
  • Exceptional proofreading skills and attention to detail for document accuracy.
  • Effective project coordination abilities to manage multiple tasks simultaneously.
  • Superior communication skills including phone etiquette and customer service experience.
  • Ability to handle confidential information discreetly and professionally.
  • Competency in data entry, filing systems (both digital and physical), and office clerical tasks such as transcription and document management. This Executive Personal Assistant role is vital for maintaining the efficiency of our executive team while providing professional support that enhances overall organizational productivity. Pay: $ $26.01 per hour

Expected hours: 25.0 per week
