Job Overview
We are seeking a detail-oriented and organized Finance Secretary to join our administrative team. The ideal candidate will be responsible for managing financial records, supporting office management tasks, and providing exceptional customer service. This role requires strong computer literacy, excellent organizational skills, and the ability to handle multiple responsibilities efficiently. The Finance Secretary will play a vital role in ensuring smooth office operations and accurate financial documentation.
Duties
- Manage bookkeeping and financial record-keeping using QuickBooks and other accounting software
- Handle front desk responsibilities, including greeting visitors and managing multi-line phone systems
- Perform data entry, filing, and proofreading to maintain accurate records
- Support office management tasks such as calendar management, appointment scheduling, and document organization
- Provide customer support via phone and in-person, demonstrating excellent phone etiquette and professionalism
- Assist with billing, invoicing, and basic bookkeeping tasks
- Maintain office supplies inventory and coordinate office maintenance as needed
- Support medical or dental receptionist duties if applicable, including appointment scheduling and patient check-in processes
- Utilize Microsoft Office Suite and Google Workspace for document creation, email correspondence, and collaboration
Qualifications
- Proven experience in office management, clerical work, or administrative support
- Proficiency with QuickBooks, Microsoft Office (Word, Excel, Outlook), and Google Workspace tools
- Strong computer skills with the ability to learn new software quickly
- Excellent organizational skills with attention to detail
- Effective time management skills to prioritize tasks efficiently
- Bilingual abilities are a plus for serving diverse clients or patients
- Previous experience in customer service or support roles is preferred
- Knowledge of front desk operations, multi-line phone systems, and data entry procedures
- Experience in bookkeeping or medical/dental receptionist roles is advantageous
- Strong communication skills with professional phone etiquette
